About this file
This is a library cataloging and processing specifications document for the Dallas Independent School District (Dallas ISD) that outlines vendor requirements for providing library materials and services to all district schools. The RFP seeks vendors to supply print books, e-books, audiobooks, digital content licenses, literacy platforms, MARC records, and shelf-ready library materials to support PK-12 curriculum and reading growth on a district-wide, as-needed basis. The specification document details comprehensive cataloging requirements using RDA standards, Dewey Decimal Classification (DDC 23), Library of Congress Subject Headings, and the School Library Solution automation system. Vendors must provide properly formatted MARC 21 bibliographic records with specific holdings information in the 949 local holdings field, assign Lexiles for all titles, include curriculum tags, and follow precise processing requirements for books, e-books, DVDs, and CDs. The contract term is three years with two successive one-year renewal options, not to exceed five years total, with either party required to provide ninety days' written notice of non-renewal.
The specifications mandate that all items be shipped directly to individual schools packed in Dewey order with numbered boxes, packing slips including pricing, and District Purchase Order numbers on shipping labels. Only two shipments per purchase order are accepted: the first within 30 days of order receipt and the second no later than 60 days, with all shipments required three weeks before fiscal year end. Vendors must request barcode ranges through the Dallas ISD Library Media Services webpage and comply with specific barcode specifications using 14-digit CODABAR format with the institutional code 3434. Selected schools require genre processing with specific DEMCO color-coded labels and genre subject headings added to MARC records. The document includes a comprehensive campus list with agency numbers for all Dallas ISD schools. Vendors who do not comply with district specifications will not be placed on the approved bid list, and all questions should be directed to libraryorders@dallasisd.org.
