About this opportunity

The Alpine School District is soliciting proposals through a Request for Proposals (RFP) process to establish a single-award contract for the supply and service of sewing equipment and related support. The procurement is being conducted by the Alpine School District's Purchasing and Career and Technical Education (CTE) departments and encompasses schools across Utah County, including 21 high schools and 15 middle or junior high schools located in American Fork, Orem, Eagle Mountain, Saratoga Springs, Lehi, Highland, Lindon, Pleasant Grove, and Alpine. The District seeks a qualified vendor to supply new Bernina 335 Sewing Machines (2nd Generation) and Bernina L850 Serger Machines, along with related parts and accessories, and to provide comprehensive service, repair, training, delivery, installation, and extended warranty support for both new and existing Bernina equipment throughout the school district. All new equipment must include a five-year extended warranty, and the vendor must demonstrate a minimum of five years of experience selling and servicing K-12 schools, capability to supply parts and repair services to all school locations, and ability to provide free delivery and installation with packaging removal. The evaluation process is conducted in two stages: Stage One (mandatory minimum score of 80 percent or 56 points) assesses company history and profile (20 points), technical capability and expertise (40 points), and references (10 points); Stage Two evaluates cost (30 points), with the lowest-cost proposal receiving full points on a proportional basis. The RFP submission deadline is Monday, April 27, 2026, at 2:00 PM Mountain Time, with electronic submission required through the Utah Public Procurement Place (UPPP) portal. The resulting contract will commence on May 31, 2026, for an initial one-year term with options to renew for up to four additional years, totaling five years maximum, with the vendor required to guarantee pricing for the first year.

The RFP contains no stated set-aside designations or restrictions limiting participation to disadvantaged enterprises or specific organization types; however, vendors with operations based in Utah may receive preference consideration. Vendors must comply with Utah Code Annotated provisions including anti-boycott certifications, restrictions on forced labor and foreign entities, proper Utah business licensing, and debarment certification. No incumbent vendors or current contractors are identified in the procurement documents. The contract documents establish a comprehensive legal framework requiring vendors to submit responses addressing all mandatory minimums and technical requirements, with communication regarding the solicitation restricted to the designated Alpine School District procurement official. Notably, the Alpine School District will reconfigure into three new districts (Aspen Peaks, Lake Mountain, and Timpanogos) effective July 1, 2027, and these successor districts will have the opportunity to adopt and extend the contract under its current terms at their discretion. The RFP documents do not specify a budget range or award value, though pricing must be quoted on a per-unit basis and include all services requested: delivery, installation, training, off-site trash disposal, and warranty coverage. Vendors must submit a minimum of three current references and may be subject to background checks for facility and data access, with contract award contingent upon successful negotiation of terms and conditions and execution within 90 days of award.
