About this opportunity
Salt Lake City Corporation has issued Request for Information (RFI) SLCI26090 seeking qualified vendors to provide information regarding a comprehensive city-wide agenda and minutes software solution. This RFI, posted on April 6, 2026, with a response deadline of May 1, 2026, is designed to gather information about potential systems rather than to solicit formal bids or commit to a purchase. The procurement focuses on software solutions that enhance efficiency, functionality, and customer service capabilities for managing municipal agendas and meeting minutes across multiple city departments. Key requirements include digital agenda and minutes functionality with accessibility features, customizable templates, keyword and content searchability, external communication capabilities, and live streaming and video support with timestamps. Vendors must demonstrate ADA compliance and adherence to public meeting law requirements, along with robust user management and security protocols. The RFI requests information addressing nine specific requirements areas, including multi-department account separation and user management capabilities, current system integrations, security standards and compliance measures, typical implementation timelines and project approaches, licensing and support models (both on-premise and cloud options), technical support levels and response times, invoicing methods, estimated implementation costs, and whether the solution utilizes Generative AI technology. Vendor responses are limited to 50 pages maximum.
This RFI does not constitute an actual procurement process and cannot be used to make a purchase or enter into a binding contract; rather, it serves to determine whether Salt Lake City will issue a future invitation for bids or request for proposals. No specific set-aside designations, disadvantaged enterprise restrictions, or incumbent vendor information has been disclosed in the RFI documentation. No incumbent vendor details, current contractor information, or specific infrastructure requirements for integration have been provided in the available materials. Information submitted by vendors in response to this RFI is protected under Utah Code Section 63G-2-305, and vendors are not required to submit a Claim of Confidentiality. No specific award values, budget ranges, contract award dates, or funding sources have been outlined in this informational RFI, as these details would typically be established in a subsequent formal procurement process should the city choose to proceed.
Opportunity text
The purpose of this Request for Information (RFI) is to: (a) obtain information, comments, or suggestions from potential bidders or offerors before issuing an invitation for bids or request for proposals; (b) determine whether to issue an invitation for bids or a request for proposals; and (c) generate interest in a potential invitation for bids or a request for proposals. This RFI is not a procurement process and may not be used to make a purchase or enter into a contract. A response to a request for information is not an offer and may not be accepted to form a binding contract. Information submitted to or by a governmental entity in response to a request for information is protected under Section 63G-2-305. As such, vendors do not need to submit a Claim of Confidentiality.
