About this file

This is a Request for Information (RFI) issued by Salt Lake City Corporation seeking qualified vendors to provide information regarding a city-wide agenda and minutes software solution. The RFI is designed to gather information about systems that can improve efficiency, functionality, and customer service rather than to solicit bids or commit to a purchase. Vendors are asked to address nine specific requirements, including digital agenda and minutes functionality with accessibility features, customizable templates, keyword and content searchability, external communication capabilities, live streaming and video support with timestamps, ADA compliance and public meeting law adherence, and user management security. Additional information requested includes multi-department account separation and user management capabilities, current system integrations, security standards and compliance measures, typical implementation timelines and project approaches, licensing and support models (on-premise versus cloud), technical support levels and response times, invoicing methods, estimated implementation costs, and whether the solution utilizes Generative AI technology. Vendor responses are limited to 50 pages.

No specific pricing information, set-asides, incumbent vendor details, funding sources, or contract award dates are outlined in this RFI, as the document is purely informational in nature. This RFI does not constitute a procurement process and cannot be used to make a purchase or enter into a binding contract. Information submitted by vendors in response to this RFI is protected under Utah Code Section 63G-2-305, and vendors are not required to submit a Claim of Confidentiality.
