The contractor must supply cost estimates within one working day for standard requests and four hours for emergency requests, obtain City approval before commencing work, and provide monthly reports and itemized invoices. All parts carry a minimum 12-month warranty or manufacturer standard, whichever is longer, with replacement and delivery costs covered by the vendor.

The contract term is 24 consecutive months commencing upon execution, with the option for up to two additional one-year extensions at the City's discretion. A bid bond or certified check of 10 percent of the total bid (not to exceed $20,000) is required for bids exceeding $52,999, along with a performance bond of $200 and consent of surety documentation. Workers' compensation insurance, general liability coverage of $1,000,000 per occurrence and $2,000,000 aggregate, and automotive liability insurance of $1,000,000 combined single limit are mandatory. The City reserves the right to award to multiple vendors or cancel based on fund availability. Bidders must complete and submit required certifications including Federal Non-Debarment, W-9, Certification of Noninvolvement in Prohibited Activities in Russia or Belarus, and Disclosure of Investment Activities in Iran. Bid opening will be conducted publicly with a virtual Zoom option available; no pre-bid conference is scheduled.
