About this opportunity
Brookhaven Science Associates, LLC (BSA), operating Brookhaven National Laboratory under contract with the Department of Energy's Office of Basic Energy Sciences, is seeking expressions of interest for two Electron and Hadron Endcap Structures for the ePIC detector system at the Electron-Ion Collider facility. The procurement involves specialized structural components including forward and backward endcap assemblies and associated fixtures, with specific material requirements including 1020 steel and detailed paint/coating specifications. Interested firms must demonstrate capabilities for delivering complex scientific detector components according to technical specifications, engineering drawings, and bill of materials provided in the attachments. This Request for Information serves purely as market research to survey available resources and does not constitute a formal solicitation or commitment. The response deadline has been extended to November 14, 2025 at 5:00 P.M. EST, with electronic submissions preferred via email to the designated Contracts Specialist.
This opportunity is designated as a partial small business set-aside under NAICS code 238120 (Structural Steel and Precast Concrete Contractors). No current incumbent contractors or specific budget ranges are identified in the notice, as this remains an informational RFI phase rather than a formal procurement action. Respondents are required to provide budgetary pricing breakdowns for all parts and assemblies using the provided BOM spreadsheets and updated cost tables. The project involves two complete endcap structures along with their corresponding tooling fixtures, representing a significant manufacturing undertaking for the advanced scientific detector system. No payment will be provided for information submitted during this market research phase, and all submissions will be used solely for planning and capability assessment purposes.

See clarification questions/answers below:
Question No.1: Is A36 material acceptable in lieu of 1020?
BSA Response: No, 1020 is required as noted on the drawings.
Question No. 2: Paint/coatings required?
BSA Response: Paint requirements are listed in the technical specification under section 3.4.
Question No. 3: Model available?
BSA Response: Yes.
Question No. 4: Is an electronic BOM available?
BSA Response: Yes, see attached BOM spreadsheets and provide breakdown in costs (EPC-BWD-FLX-FIX-PRT-350-RA0-Flux Return Fixtures BOM, EPC-BWD-FLX-SUP-ASM-100-RA0-Endcap Steel BOM, EPC-FWD-FLX-FIX-PRT-350-RA0-Flux Return Fixtures BOM & EPC-FWD-FLX-SUP-ASM-100-RA0-Endcap Steel BOM).
Question No. 5: Is the top-level Drawing Number: EPC-BWD-FLX-SUP-ASM-100
Description: Endcap – Flux Return Endcap Steel?
BSA Response: The top-level assembly drawings are listed the technical specification under
section 2.2. EPC-BWD-FLX-SUP-ASM-100 and EPC-FWD-FLX-SUP-ASM-100 are the top-level
drawings for the two endcaps. EPC-FWD-FLX-FIX-ASM-350 and EPC-BWD-FLX-FIX-ASM-350
are the top-level drawings for the endcap tooling.
Questions No.6: The table does stipulate that budgetary pricing is required, can you please add
the part #’s to the appropriate description?
BSA Response: see updated Table 2.
The budgetary estimates require all costs to be broken down for all parts and assemblies,
please complete the BOM’s cost breakdown spreadsheets and updated Table 2, see
