About this file
This file is a Questions and Answers document (the third set) from a site visit conducted on April 21, 2026, addressing clarifications on technical requirements for two conference room audio/visual equipment packages under solicitation W50S8H-26-Q-0014.
For Building 901's conference room, the Government clarified that laptop connectivity at the podium/lectern is not required, though direct HDMI connection is permissible for presentations run from the Northwest desk. Microphone coverage must encompass the entire room including the podium area, but no dedicated presenter microphone or PTZ camera coverage is needed for the podium. The conference table features three existing flip-up/pop-up boxes with electrical receptacles and RJ-45 pass-through wiring connected to three building floor boxes. Electrical outlet wall boxes are roughed-in place per the existing electrical drawing, with drywall already installed and no anticipated additional outlet locations. For Building 912's conference room, the Government confirmed that existing displays and ceiling speakers detailed on page 28 of the technical drawings are Government-furnished equipment (GFE) being repurposed. Three Cisco SX80 VTC codecs require replacement with approved models (CS-CPRO-NR-K9++ or CS-CODEC-EQ-NRK9++) that are TAA-compliant with no radio capability, distributed across 2 Secret Networks and 1 Top Secret Network. Ten dedicated tower PC inputs must be provided: seven positioned under the conference table center and three in a closet, with dual video outputs to Crestron. Network security levels for closet inputs are one Unclassified, one Secret, and one Top Secret; table inputs are distributed as two Unclassified, two Secret, and two Top Secret.

W50S8H-26-Q-0014 – Conference Room Audio / Visual Equipment Package – Question List 3 of 3
Site Visit: 21 April 2026 0900
Questions about Building 901’s Room:
1) The Podium (Lectern) that is mentioned in “B7+Site+Visit+Q+and+A” for this room, does the Government want a presenter to be able to connect a laptop at this location?
a. There is no need to be able to connect a laptop at the podium / lectern. Presentations are almost always run from the desk at the Northwest portion of the room. At most, a presenter at the podium / lectern may utilize a laptop to connect directly via HDMI to the display at the front of the room. No connectivity, however, is required at the podium / lectern.
2) If so, will the laptop also need to be able to host a MS Teams call from this location?
a. No hosting of a meeting is to occur at the podium / lectern.
3) Does the Government want a voice reinforcement microphone (such as a Gooseneck Microphone) at this location?
a. Microphone coverage for the room should be enough to cover the entirety of the room to include at the podium / lectern.
4) Additionally, does the Government require a PTZ camera at the back of the room in order to capture a view of a presenter standing at the Podium/Lectern during a web conference?
a. There is no need for camera coverage for the podium / lectern.
5) Can the government confirm that there is some kind of existing architectural connectivity feature in the conference table (this could be an existing cable cubby or table grommet) or is one required?
a. Corresponding with the 3 installed building floor boxes with duplex receptacles and RJ-45 jacks, the conference room table has 3 flip-up / pop up boxes with receptacles and a pass-through for RJ-45, etc. wiring to connect to the floor.
6) Can the Government confirm that the electrical outlet locations indicated in “A2 B901 Conference Electrical Image” are existing or planned (yet to be installed)?
a. The wall boxes for the receptacles were found to be roughed in place in the locations laid out on the electrical drawing image during a site visit on 12 May 2026. Drywall has been hung in the room and it is not anticipated the receptacles will be installed in any other location than currently installed to date.
