About this file

This is an Information Systems Management Policy document issued by a Massachusetts Sheriff's Department establishing operational guidelines for the Information Technology Division (ITD). The policy creates and maintains a state-of-the-art electronic information management system responsible for data collection, access, retrieval, and use across all departmental divisions and operational entities. The policy became effective in January 2015 and establishes the role of the Information Technology Systems Administrator (ITSA) in overseeing system design, maintenance, and operation. The document does not specify project timelines, response dates, bidder meetings, or contract award dates.

The policy establishes comprehensive user responsibilities and system security requirements without addressing pricing, funding sources, or budget allocations. Key provisions include mandatory password protection, prohibition of unauthorized software and hardware installation, restrictions on USB device usage without ITSA written approval, and limitations on data removal from department premises. The policy governs email usage, internet and intranet access, software licensing compliance, and telephone system usage—all restricted to department business only. The document reserves the department's right to monitor computer systems and files when abuse is suspected and establishes disciplinary measures up to and including termination for willful violations. No incumbent information is provided, nor are there renewal options specified in this administrative policy document.
