About this file

This document is a Request for Proposal (RFP) Q&A file related to a Privacy Pod procurement by the Oregon Building and Development Department (OBDD). The procurement involves the purchase of privacy pods with specific interior furnishings and finishes. Key specifications addressed in the Q&A include an adjustable interior table (with flexibility on dimensions from the standard 30" x 18" specification), an upholstered adjustable seat with a height range of 22"-46" that should be integrated into the pod structure rather than freestanding, ceiling lights at 3500K color temperature, and exterior finishes in dark charcoal or black with lighter charcoal or gray interiors. The RFP clarified that all specified dimensions refer to external rather than internal measurements. Regarding the rear panel window specification, OBDD indicated a preference for solid panels to serve as a video call background but expressed willingness to consider glass or transparent alternatives. The bid closing date was confirmed as final with no extension available at the time of these responses.

The Q&A responses demonstrate OBDD's flexibility on certain specifications while maintaining core requirements for the privacy pod functionality. Vendors were permitted to propose alternative table dimensions (31.5" x 26.65" or 26.5" x 8.75") as viable substitutes to the original specifications, indicating the agency's openness to practical alternatives that meet functional needs. The responses did not address specific pricing terms, set-asides, incumbent information, or funding sources within this particular document, as the Q&A focused primarily on technical clarifications and design preferences for the privacy pod components.

Privacy Pod RFQ Questions

Q: Your specifications require an interior adjustable table that is 30" x 18" with adjusting range of 29-46" H. Within our product line that we'll present in the quote we only have access to two different tables sizes, option 1 is a 31.5" x 26.65" or option 2 is a 26.5" x 8 3/4". Would one of these sizes be acceptable?

A: Yes, we can consider those options. The dimensions I used for the RFP are just standards.

Q: Your specifications require an interior adjustable seat that is upholstered with a range of 22"-46" in seat height. Would you like this seat to be integrated (permanently fastened to the floor of the pod) or would you prefer to have this be a freestanding furniture piece where the stool that can removed from the pod for flexibility?

A: Our preference is that a seat that is part of the pod (not a separate piece) but we will consider other options.

Q: Does your team have any specific colors or finishes in mind that would coordinate with your existing space?

A: We’re looking for dark charcoal/black (ish) for the exterior finishes with a lighter charcoal or gray for the interior.

Q: Can you confirm whether the size specifications provided refer to the interior dimensions of the pod or the overall external dimensions?

A: Dimensions are external.

Q: Can OBDD extend the bid closing date?

A: At this point OBDD will not be extending the bid closing date.

Q: For section 1.2 - Window (floor to ceiling), can we offer the rear panel of the pod entirely made of tempered glass, covering the entire rear panel, not just the window?

A: OBDD prefers solid since it will be a background for video calls but would consider glass or transparent.

Q: Will ceiling lights at 3500K work?

A: 3500K will be ok.
