About this file
This instructional guide provided by the Kenton County Airport Board (KCAB) outlines the vendor registration and attendance procedures for pre-bid and pre-proposal meetings related to the On-Call Environmental Consulting Services solicitation. KCAB mandates that all attendees pre-register for pre-bid and pre-proposal meetings using the RSVP function in the OpenGov procurement portal at least 24 hours in advance of the meeting. The non-mandatory pre-proposal meeting is scheduled for Thursday, March 12, 2026 at 10:00 am at CVG Centre, Admin Offices, 77 Comair Boulevard, Erlanger, Kentucky, with RSVP required by March 11, 2026. The guide specifies that the individual planning to attend the meeting must personally complete the RSVP to ensure an accurate attendee list, which allows KCAB to conduct required security clearances and arrange adequate transportation. Company administrators must first add each attendee to their organization's account in OpenGov before the individual can complete their RSVP; multiple employees from the same company may attend, but each must register independently through the system.
The guide directs users to OpenGov's online Help Center at https://opengov.my.site.com/support/s/procurement for more detailed instructions on account management and system navigation. Vendors can toggle their attendance status by clicking the Events RSVP dropdown next to the Draft Response option, selecting the appropriate meeting, and changing their status from "Not Attending" to "Attending." Attendees may remove their RSVP at any time by clicking the Attending box again if they become unable to participate. This process ensures that KCAB maintains accurate records of attendee information while streamlining security and logistical preparations for the pre-proposal meeting.

Kenton County Airport Board Instructional Guide for Vendors to RSVP to PreBid/PreProposal Meetings
KCAB requires all attendees for all pre-bid and pre-proposal meetings to pre-register using the RSVP function in OpenGov at least 24 hours in advance of the meeting. Properly completing this RSVP process ensures that KCAB can perform all required security clearances prior to the site visit and ensures that adequate transportation is arranged.
The person attending the meeting must be the one to RSVP so that we have an accurate list of attendee names.
This document is being provided as a brief overview of the RSVP process. Bidders are encouraged to review the online Help Center provided by OpenGov, accessible at this link:
https://opengov.my.site.com/support/s/procurement for more in depth instructions pertaining to accounts and system navigation.
Adding users to your account
Admin is available for users with an admin role, and it allows them to add and disable users as part of their company account. An admin for your company must add every individual who is attending the meeting.
Then the individual attending the meeting must complete the RSVP. Multiple people from the same company can register, but each must complete the RSVP individually.
