About this file
This memorandum is from the Leisure Services Department of the City of Altamonte Springs evaluating bids for the ITB-25-005-KY Sports Programs Athletic Apparel annual requirements contract. The solicitation seeks to procure athletic apparel for sports programs, with the department reviewing vendor submittals to ensure conformance with technical specifications. After a comprehensive evaluation process, SP Designs & Manufacturing Inc. was recommended as the primary awardee with a submittal amount of $18,257.85, and Ad-Wear & Specialty of Texas, Inc. was recommended as the secondary awardee with a submittal amount of $20,326.00.
The department noted that while CUBCO Inc. was the lowest initial bidder, they were disqualified due to an inability to provide the full range of print options specified in the Invitation to Bid. Finance/Accounting has verified that funding is available for the project, and no budget adjustments are required. The secondary awardee will be contacted for a quote if the primary awardee cannot provide the requested services, ensuring continuity of supply for the sports programs' athletic apparel needs.

MEMORANDUM
Date: January 7, 2025 To: Krisha Yurkiewicz, Finance/Procurement Via: Ryan Thompson, Leisure Services From: Neida Hernandez, Leisure Services Re: ITB-25-005-KY Sports Programs Athletic Apparel – Annual Requirements
The Leisure Services Department evaluated the submittals received for the above solicitation to determine if they were in conformance with the technical specifications. After reviewing the submittals and speaking with the vendors to assess their understanding of the technical specifications, SP Designs & Manufacturing Inc. is recommended as the primary awardee as the lowest responsive and responsible bidder with the submittal amount of $18,257.85.
The Leisure Services Department would also like to recommend the second (overall) lowest responsive and responsible bidder, Ad-Wear & Specialty of Texas, Inc., as a secondary awardee with the submittal amount of $20,326.00. The Department will contact the secondary awardee for a quote if/when the primary awardee is unable to provide the requested services.
CUBCO Inc. was the lowest bidder for this Bid; however, during the evaluation process, it was determined that they were unable to provide all of the print options specified in the Invitation to Bid (ITB). The Leisure Services Department requires a full range of print options to meet the specifications and needs outlined in the bid.
We have verified with Finance/Accounting that funding is available and no budget adjustments are required for this project.
