MEMORANDUM FOR RECORD
SUBJECT: Second Pre-Proposal Site Visit Meeting Minutes, Solicitation FA7000-17-R-0007, USAFA CCTV
System Phases 1A and 1B
1. A second pre-proposal site visit was held for Phases 1A and 1B of the CCTV System at the United States Air
Force Academy (USAFA). Multiple site visits were held to accommodate a detailed site visit. Each site visit followed the same schedule. The site visits were held on 24, 25, and 26 October with two visits each day. One from
08:30 A.M. to 12:00 P.M. and another from 1:00 P.M. to 4:30 P.M. Potential contractors are listed on the attendance sheet (Attachment 1). All attendees met at the Pass & ID office. The Government provided base passes for all attendees that did not possess the proper credentials to get on the USAFA.
2. Before being released from the Pass & ID office, attendees were given an overview briefing of the site visit rules of engagement. Mr. Aaron Vollbracht, Contracting Officer, presented on the first site visit, Mrs. Heidi Stein, Contract Specialist, presented on site visits two, three, and four, Ms. Brittney Biscone, Contract Specialist, presented on site visits five and six. The attendees were then released to drive themselves to Arnold Hall where they met in the lobby with Jerry Branesky (CE), Jaime Krings (CE), and Jeff Rychter (Comm).
3. The site visit started at the Arnold Hall lobby with a discussion on planned camera locations. The group then proceeded down the hall and to the back of the building to view comm and electrical rooms and discussed where exterior cameras would be located plus planned cameras at Haps Lounge. After that the group exited out the main
Arnold Hall entrance, up the steps to the north entrance of Harmon Hall and viewed the two cameras located in this area plus the comm room on the third floor. We then proceeded to the south entrance of Harmon Hall and viewed the three camera locations in this area, two inside and one outside. Next the group proceed across the terrazzo area down the steps to the fourth level, west stairwell entrance of Vandenberg Hall then went to the third level to view the comm and general floor plan area. Then the group viewed a fourth level SAR (Student Activity Room) then went down to the third floor to view a comm and electrical room and walked around some dorm room halls noting various planned camera locations. The group then exited Vandenberg Hall and walked across the terrazzo to Sijan
Hall west stairwell area and viewed a fourth level comm room. After that the group walked down the stairs to the third level noting camera locations in this area then walked down hallway areas noting camera locations then to a
SAR room to view planned camera locations. The group exited Sijan Hall and went back to the parking area and drove to building 4199 to view the computer area where the new servers are to be placed. This concluded the tour.
4. Attendees were reminded of adherence to the strict schedule to ensure that each site visit remained the same.
Each site visit concluded on time and attendees drove off the USAFA when the tour ended at building 4199.
