About this file

This document is a Questions and Answers (Q&A) file providing clarifications on requirements for a federal conference room audiovisual and videoconferencing system installation project.

Equipment and Room Configuration:

The government will not provide a projector; the contractor must supply one. A 140-inch pull-down projector screen exists onsite but does not meet the preferred flat/tensioned specification. Two 105-inch televisions will be positioned on side walls to accommodate room seating where only the head-of-table position faces the projector screen directly. The room measures 39 feet by 28.5 feet with an 8-foot-6-inch ceiling and no false floor; all cables must route through dropped ceiling tiles. A room layout diagram is provided showing conference table placement, audience seating, podium location, and equipment positioning.

Microphone, Camera, and Control Systems:

Ceiling microphones are preferred over table microphones, with a 2-way ceiling microphone-speaker combination recommended for clear audio capture of both table participants and gallery attendees. Table-mounted microphones (via drilled holes acceptable) require strict single-speaker protocol. The presenter microphone should include a switch and LED indicator (preferred, not required). Two cameras are required: one focused on the speaker from the rear, another angled on the audience from the front, with capability to zoom on audience members asking questions. Cameras must have physical privacy control (shutter or automated turn-to-wall) blocking room visibility when inactive. Camera tracking must synchronize with all microphones. A mobile touch panel is preferred, deployable at both the podium and conference table. Equipment rack integration with the podium is highly recommended due to space constraints.

Compliance, Pricing, and Submission Details:

The prime contractor need not hold a 2GIT contract but holding one is preferred; product-level compliance documentation should be provided. Design, installation, programming, testing, training, travel, and one-year support costs may be allocated across applicable equipment lines with explanatory breakdown or added as separate line items. Offers should be submitted to dariia.khymchenko.1@us.af.mil. The conflict-of-interest checkbox intends to identify companies not owned or controlled by government employees.

1. The government is providing a short throw projector. What is its make and type.

Answer: Government will not be providing a projector. It was added into the required equipment of PWS and solicitation was amended.

2. Does the government have a projector screen and if so what size. Not for this type of project the screen has to be very flat either fixed or tensioned.

Answer: Yes, the projector screen is roughly 140”, measured diagonally. It is a pull-down screen, it’s not fixed or tensioned.

3. To my knowledge there are no 100” TAA monitors in current production. Might you accept:

1. 98” – No

2. 105” ultra wide often preferred for Teams using the Microsoft Front Row layout. –

YES

Answer: Let’s mandate the 105” television. 98” is going to be too small for the viewing distance.

4. How do you see the table microphones and ceiling microphones operating together, or is it one or the other?

Answer: Our preference would be ceiling. We need the individuals at the table and those at “the gallery” to be clearly heard and not sound as if they’re distant. If possible, it may be best to have a 2-way ceiling microphone and speaker in one.

5. Can the table microphones be mounted using a hole drilled in the table.

Answer: As long as the finished product is clean and professional looking.

6. Do you want to impose a strict single-speaker protocol from the table microphones.

Answer: Yes, that would be best for clarity.

7. Does the presenter microphone need a switch and LED. It is to be used during a Teams session?

Answer: Not required but preferred. We understand having a visual LED to determine if the microphone is on along with a switch to allow the presenter a chance to cough, enable side-bar conversations, or safely set down the microphone would be beneficial.

8. Can you expand on the requirement for camera privacy control. Is it just a blank mode or do you want specific areas to be blocked out?

Answer: The cameras need physical privacy control method that blocks the camera’s capability to see the room when it’s not in use. Whether that’s a physical shutter on the camera or an automated camera turn to the wall when it shuts off, is for industry to determine.

9. How are the two cameras to be arranged. Have you considered dual lens models?

Answer: The intent is to have one camera only focused on the speaker from the back of the room. The other camera would be in the front of the room angled to focus on the audience. The intent here to be able to catch the speaker and audience when they ask questions. We believe 3 cameras in the room to prevent the full whiplash effect would excessive but the audience camera could zoom in on the individual asking a question and then become active on the feed.

10. What are the minimum requirements for the podium. Can the equipment rack be integrated with it?

Answer: It’s highly recommended that we integrate the equipment rack with the podium if possible due to available room space.

11. Is the touch panel to be mounted on the podium or a conference table?

Answer: It’s preferred that the touch panel be mobile in the room. There will be occasions where it’ll be easiest for the touch panel to be on the podium and some on the table. The ability to use the touch panel at both locations is preferred.

12. Do you want camera tracking commanded by the ceiling microphones, table, or both?

Answer: We would need the camera tracking to be synced with all microphones.

13. Can you please have a room layout diagram with height, width and length.

Answer: Yes, see attached.

14. Can you confirm only one laptop is to be used? Why three screens?

Answer: Yes, only one laptop will be used at a time. The projector screen is the largest screen for the entire room to view. The 105” televisions will be placed on the walls to the left and right of the projector screen. This is due to the seating in the room. Only the individual sitting at the head of the conference table is actually facing the projector screen. Everyone else faces the side walls.

15. Is there a false floor?

Answer: No false floor. All cables will need to be routed through the dropped ceiling tiles.

16. 2GIT and network approval: Does “2Git compliant as required” require the prime to hold a 2GIT contract, sourcing through a 2GIT channel, or product-level compliance? Please identify any required approved-product list or documentation for the proposed equipment.

Answer: the Prime isn’t required to hold 2GIT contract, but it is preferred.

17. Pricing worksheet: Please confirm where the required design, installation, programming, testing, training, travel and one-year support costs should be entered, since the 17 lines are labeled as equipment/materials. May those costs be allocated to the applicable lines with a separate explanatory breakdown?

Answer : yes, design, installation, programming, testing, training, travel and one-year support costs may be included in the applicable lines or added as additional line.

18. Submission addresses: The combined synopsis lists klemon@us.af.mil beside SSgt Khymchenko, while the SAM contact field lists dariia.khymchenko.1@us.af.mil. Please confirm the correct recipients for offers.-

Answer: dariia.khymchenko.1@us.af.mil is the correct email

Attachment 4: The first conflict-of-interest checkbox contains “neither ... is not an employee,” which appears to be a double negative. Please confirm that this option is intended for companies not owned or controlled by Government employees, or provide corrected wording

Answer: you are correct, this option intended for companies not owned or controlled by Government employees.
