Overview of Central Pharmacy Manager The Omnicell Central Pharmacy Manager (CPM) inventory management software manages inventory in the main hospital or system pharmacy.

CPM items can be stored in carousels or in open storage locations such as shelving or refrigerators. Satellite Pharmacy Manager is a separate license that comes with CPM, to help manage inventory in remote facility locations. For more information see Satellite Pharmacy Manager.

An integrated wireless bar code scanner helps the user to process items at their locations without having to return to the CPM workstation. CPM is fully integrated with the OmniCenter database, to ensure accurate inventory control, costing, and reporting.

The CPM system includes the following features:

● Item location assignment tracking

● Cycle counting and transfers

● Electronic ordering and receiving

● Item dispensing, picking, and stocking

● Processing restock requests from other CPMs or SPMs

● Pick verification

● Item expiration date recording

● Reporting: users can use existing OmniCenter reports as well as pharmacy-specific

OmniCenter reports

The CPM system can be configured to retain up to seven years of transactions and user events using the historical database feature in OmniCenter. See the Historical Database Technical Guide for more information. Central Pharmacy Manager runs in conjunction with the same version of OmniCenter or greater. For Omnicell server specifications and installation instructions, see the OmniCenter Server Implementation Guide.

This information covers the steps that are required to set up and configure the Central Pharmacy Manager (CPM) software and the all-in-one (AIO) workstations. For information about the Central Pharmacy Manager user workflow, completing basic tasks, and managing user administration, see the Central Pharmacy Manager User Guide.

Satellite Pharmacy Manager Satellite Pharmacy Manager (SPM) software manages inventory in central and satellite pharmacies throughout the hospital. This software runs in conjunction with Central Pharmacy Manager.

Satellite Pharmacy Manager items are stored in open storage locations, and are ordered from CPM (rather than outside vendors). Omnicell cabinets are not supported as CPM storage locations. SPM is fully integrated with CPM, and therefore the OmniCenter database, to maintain the same level of accurate inventory control, costing, and reporting.

Remote Ordering The Remote Ordering web application helps you to order items from locations throughout the hospital system. This software runs in conjunction with Central Pharmacy Manager.

Remote Ordering items are ordered from CPM (rather than outside vendors). To use the application, you must have remote ordering set up for your location and the associated user permissions. Remote Ordering is fully integrated with CPM, and therefore the OmniCenter database, to maintain the same level of accurate inventory control, costing, and reporting.

For more information about this application, see the Remote Ordering User Guide.

CP Mobile The CP Mobile application allows you to use a mobile device to do cycle counts.

To use the CPMobile application, you must have a CPMobile device and license, as well as associated user permissions. CP Mobile is fully integrated with CPM, and therefore the OmniCenter database.

All-in-One Workstations One or more all-in-one (AIO) workstations can be located in the pharmacy for receiving, stocking, and picking pharmacy items.

An AIO workstation is also known as an AIO, CPM, client, or workstation. In OmniCenter, each device is sometimes referred to as an Omni.

A CPM Main Workstation is also referred to as an Omni.

The AIO workstation can be configured in two ways:

Main Workstation The main workstation handles transactions between OmniCenter and CPM, as well as functions as a workstation for normal pharmacy transactions. There must be one main workstation to connect to OmniCenter, and communicate with non-main workstations.

Omnicell recommends that the main workstation be running Windows 10, and not be associated with a hardware device such as carousel or packager, if possible, because of the extra load it carries brokering transactions with OmniCenter. In addition, for troubleshooting and service access it reduces stress on pharmacy operations.

© 2023 Omnicell, Inc.

Non-main Workstation A non-main workstation communicates only with the main workstation. It can be used for normal pharmacy transactions, but the workstation does not communicate with OmniCenter. If desired, the workstation ID can be configured to limit that workstation to only perform receiving functions. There can be up to fourteen Windows 10 workstations attached to the main. Many hospitals have a receiving area outside the pharmacy, where items received from wholesalers are stored before they are received to inventory. Items can be received to inventory in the receiving area, and then delivered to the pharmacy for stocking. In this case, the CPM workstation can be set up for only receiving functions..

Additional information regarding CPM workstations:

● A (non-main) workstation cannot be added to OmniCenter. When launching any (non-main) workstation for the first time, point the services location to the CPM Main IP address.

● CPM main configuration Receiving Method must be set to Two-step Receiving to enable setup of a workstation that is limited to only the receiving function.

● CPM workstations are dependent on the CPM main. They do not function if the CPM main workstation is down.

To set up a workstation, see the information in Install the CPM Application.

Licensing Central Pharmacy Manager Central Pharmacy Manager (CPM) is an Omnicell licensed product. Each CPM client must be licensed in order to operate with full features. A Satellite Pharmacy Manager (SPM) license is available for satellite pharmacies that do not have hardware such as a carousel or packager and that do not order electronically from a wholesaler.

The SPM license provides the same functionality as the CPM license except that it does not provide access to hardware devices. SPM is typically restocked from CPM, instead of from an outside vendor. CPM workstations do not require licensing. A SPM location can still manually order if they do not get all their medications from CPM at the main pharmacy, but an order cannot be generated from an outside vendor.

Customers purchase a CPM license for the number of CPM clients and an SPM license for the number of SPM clients to be used at the same time at their facility. The license codes are entered during installation, and each time a user logs on, OmniCenter counts it as a license that is in use. If the maximum number of clients in use is reached, additional users cannot log on.

If a facility has both CPM and SPM license codes, be sure to assign the CPM license to the pharmacy with a carousel or that will be ordering from a vendor.

The title at the top of the logon screen identifies the type of license that is activated, whether a Central Pharmacy Manager or Satellite Pharmacy Manager.

Central Pharmacy Manager Data Flow In Central Pharmacy Manager, information flows between the Pharmacy Information system (PIS), OmniCenter, the vendor system, and the storage areas. This image shows the data flow between the system components and describes the flow of information.

In this diagram, yellow dashed lines represent interface communication, solid blue lines represent communication within the Unity system, and solid green lines indicate user tasks.

Beginning with the initial order from a cabinet:

1. A cabinet generates a request that goes to OmniCenter. This also automatically generates a pick request to the CPM main (blue line 1).

2. The PIS forwards a new order and cartfill via interface to OmniCenter (yellow dashed line 2) .

3. Central Pharmacy Manager communicates with OmniCenter, and data gathered is used to determine needs for a a purchase order (blue line 3).

4. OmniCenter generates a restock/vendor order, which is sent to the distributor system (yellow dashed line 4). At a scheduled time, OmniCenter generates a purchase order for CPM and sends it to the wholesaler through OIS.

5. The vendor order system returns an invoice to CPM via Omnicenter (5), and forwards the order to a distributor for filling (yellow dashed lines 5).

6. After the order is filled, pharmacy personnel receive the order and stock it to the carousel or open storage areas (green lines 6).

7. The items are picked and distributed to the requesting satellite areas or nursing units (green lines 7).

8. Finally, the items are distributed from these areas to the patients (green lines 8).

Unpack and Set Up the Workstation(s)

Follow these steps to set up the workstation. (This is for a single workstation. We need the video workstation info)

About this task These instructions assume that this is a first-time installation of the CPM system. Work with the site IT department to determine how IP addresses are assigned and managed at the site. The CPM workstation can use a static IP address, or a dynamic address if the site has the ability to function by DNS (Domain Name System) and PC name. Static addresses are typically used. If so, obtain an IP address from site IT before you proceed

Important: Plug the workstation power cord into the workstation power supply receptacle first, then into a wall socket. If the cord is plugged into the wall first, the system will not power up. This feature is also documented in an insert in the workstation package.

Procedure

1. Remove the workstation from packaging. Retain packaging.

2. Place the workstation on a flat surface.

3. If using the wireless option, plug the USB receiver, located inside the mouse when shipped, into one of the USB ports on the workstation to install both the mouse and keyboard. If using the wired option, insert the keyboard and mouse cables into the USB ports underneath the workstation or on the side of the workstation.

4. Plug the power cord into the power receptacle on underside of the workstation, and then into a wall socket.

About this task If there are two separate areas for receiving and stocking in a facility, the CPM workstation can be set up for only receiving functions.

● The receiving workstation communicates only with the main pharmacy workstation.

● The main receiving method must be set to Two-step Receiving.

© 2023 Omnicell, Inc.

● User permission Receiving is required to receive items at a receiving AIO workstation.

Also, user permission ReceiveStocking is required to stock items at the pharmacy workstation. User permissions are set at OmniCenter.

● The CPM at the pharmacy displays all menus or tabs except Receiving. The CPM receiving AIO workstation displays the Receiving and Settings menus.

Important: The CPM main Omni MUST be up and connected to the OmniCenter before a workstation can communicate with it.

Procedure

1. After following the steps to set up a new workstation, at the workstation logon screen, click the Central Pharmacy Manager title on the screen to view the system information.

2. Note the workstation number, which is an auto-generated, ten-character string starting with WKS. You will enter this string at the CPM main Omni.

3. At the CPM main Omni, go to Settings > System Configuration > Omni > Receiving

Workstations.

4. Enter the workstation number; it must be ten characters, starting with WKS. More than one workstation can be connected to a CPM main Omni by typing multiple workstation numbers, separated by commas, in the Receiving Workstations field.

5. At the CPM Omni, go to Settings > System Configuration > Inventory > Receiving Method. Select Two-step.

6. Press Save.

© 2023 Omnicell, Inc.

7. Confirm with your Omnicell interface analyst or field engineer that Omnicell interfaces are working properly. Once interfaces are working, the workstation can begin receiving vendor invoices. Manual invoices can also be created.

8. Log on to the CPM workstation. The Receiving and Settings menus are available.

Selections available on the Settings menu depend on your assigned permissions. If you have Printing permission, the Reprint menu is available.

● Invoices received from Vendors will be displayed on this screen as they are received. Users can also press Add Invoice to create manual invoices.

● The workstation shares a network printer with the CPM main Omni. Each time a user finishes receiving items and presses Send to Stock, a receive receipt prints at the network printer. At the workstation, a print archive is available. Users with Printing permission can reprint receive receipts as needed. For the purpose of reprinting, a local printer must be configured at the workstation as follows: enter the printer name in the configurations under Settings > System Configurations > Printing Settings > Form Printer Name.

9. To enable the reprinting of receive receipts from the print archive, set up a local printer by exiting to OmniShell and pressing the Set Default Printer button. Select a local printer, and save settings.

Important: The workstation shares a network printer with the CPM main Omni. Each time items are received and the user presses Send to Stock, a receive receipt prints at the shared printer. At the workstation, receive receipts are retained in the print archive. To reprint receive receipts from the print archive, a local printer must be configured at the workstation. Users with Printing permission can then reprint receive receipts as needed.

Adding New and Replacement Workstations in CPM

Use this information to properly add a new or replacement workstation to CPM.

As you are setting up a workstation in CPM, the Workstation Identity dialog will display.

© 2023 Omnicell, Inc.

If you are replacing a workstation that is down and not communicating to the Main for its identity, and you want to keep its identity in the system, check the button beside Existing and select the workstation identity from the dropdown.

If you are adding a new workstation, select the button beside New and type in an acceptable workstation name for your facility.

Selecting Save will enable your changes.

Set Up a Carousel Workstation

You can assign a carousel to a specific Central Pharmacy Manager workstation.

Before you begin Before you link a workstation to the carousel (also known as a device), the CPM main client should already be set up and connected to OmniCenter. Follow the instructions in Set Up a CPM Main Client on page 19.

About this task If possible, it is recommended that the main workstation is not associated with a carousel. The extra load of brokering transactions with OmniCenter, and handling carousel operations, could limit performance. It also makes troubleshooting and service access less stressful on pharmacy operations.

© 2023 Omnicell, Inc.

You can add a carousel by using the Device Configuration screen. You cannot delete a carousel location that has any items assigned to it.

Procedure For more information about the steps needed to complete this task, see Add a New Devicein Managing Carousel and Storage Devices.

Assign a CPM/SPM License at the Client

If you have both CPM and SPM license codes at your facility, you must assign the correct type of license for each pharmacy. You can only assign a pharmacy one license or the other at the same time.

About this task When a CPM client is active in OmniCenter, and the site has enough CPM licenses to enable it, the Central Pharmacy licensing checkbox auto-checks for the that client, and this task is not necessary.

To license a satellite pharmacy without a carousel, you must click the Satellite Pharmacy checkbox. The Satellite Pharmacy checkbox is not automatically enabled.

During daily Midnight Processing, the system compares the number enabled clients with the number of licenses owned by the facility. If they exceed the number of licenses owned, the number of clients in excess of the licensed number behave as though they are not licensed.

© 2023 Omnicell, Inc.

Procedure

1. Go to Database > OmniSuppliers > Communication to check the status of the client.

© 2023 Omnicell, Inc.

2. Go to Database > OmniSuppliers > Lic. Features. If Central Pharmacy is enabled, and the checkbox is grayed out, no CPM licenses are available (all are in use).

If all CPM licenses are in use, no carousel is required, and a Satellite Pharmacy license exists, you can enable the Satellite Pharmacy checkbox.

Assign a CPMobile License at the Client

After you add CPMobile licenses in OmniCenter, you then must add the licenses for each Omni CPM main that you want to use the CPMobile application with.

Procedure

1. In OmniCenter, select the Database menu.

2. In the Tables list, click OmniSuppliers.

3. In the table below, select the appropriate OmniSupplier, and then click Modify.

4. Click Lic. Features.

© 2023 Omnicell, Inc.

5. Select the CPMobile License check box.

6. Click Save.

7. Repeat this step for every Omni you want to use the CPMobile application with. If the

CPMobile License check box is grayed out, you do not have any remaining licenses available.

Install the CPMobile Application

This topic shows you how to install the CPMobile application from the Apple App store.

About this task The CPMobile application is available on the Apple App store. It also requires a license to connect your mobile device to an Omni. It supports the Apple iPod Touch, or iPhone 6, 6s, or 7 (regular sized, not plus) with an iOS of 10 or greater with an attached Linea Pro LP 2D scanner (Infinite Peripherals is the manufacturer of the scanner). Customers must purchase their own mobile device.

Procedure

1. Go to the Apple App store and download the CPMobile application.

© 2023 Omnicell, Inc.

2. Start the application.

3. On the SETTINGS screen, in the Server box, type the IP address of the Omnicenter server following by a the colon character (:), and then the port, which is always 40405.

So the format should be [IP Address]:40405

4. In the Database list, select the Omni you want to connect to.

5. In the Proxy Calls list, select On or Off. Proxy mode ON means all communications to the CPM is through OmniCenter. There is no direct connection between the iPhone and CPM. Proxy mode OFF means the communication is directly from the iPhone to CPM, and the iPhone does not communicate directly with OmniCenter. Check with your IT department for the preferred communication method.

Results You can now use the CPMobile application with Central Pharmacy Manager.
