About this file

This document is a bid packet for a term contract issued by the School Board of Marion County, Florida for steel doors and frames. The bid (Bid #4097GM) is seeking a supplier for custom-made metal doors and frames to be used throughout the district's facilities. The bid is posted on July 18, 2024, with responses due by Wednesday, August 14, 2024 at 2:00 PM, and the contract term will run from September 11, 2024 to September 30, 2025. The district requires the awarded vendor to have an in-house fabrication shop capable of welding frames, fabricating sidelights and transoms, and constructing custom reinforcements. Only doors and frames from Steel Door Institute member brands (Ceco, Curries, Pioneer, and Steelcraft) will be accepted.

The bid includes detailed specifications for frames and doors, with pricing for various sizes and configurations of cold rolled and galvanized steel frames and doors. Potential additional charges are outlined for specific customizations such as door closer reinforcement, lock preparations, and fire labeling. The district will allow percentage increases on fixed pricing due to raw material cost volatility, but requires vendors to provide documented proof of material cost increases from their suppliers. The vendor must be a stocking distributor and provide a manufacturer's authorization letter. In emergency situations, the district reserves the right to purchase parts from alternative sources. The bid packet includes multiple forms that vendors must complete, including qualification statements, drug-free workplace certification, and debarment certifications.

SPECIFICATIONS

Marion County Public Schools is interested in finding a supplier for custom‐made metal doors and frames for use throughout the District. Approved metal doors and frames brands:

The Marion County Public School District is comprised of over fifty schools and office locations built over a span of almost a century. Because of the large building style variance in which metal doors and frames purchased from this bid may be installed the awarded vendor must have an in in‐house fabrication shop capable of welding frames, fabricating sidelights and transoms, and constructing custom reinforcements and preps. The awarded vendor must also be authorized to do labeling of fire and smoke rated doors and frames themselves.

Awarded vendor must be a stocking distributor and have a manufacturer’s letter of authorization stating that they are a stocking distributor included with their bid submission.

If there is an emergency situation in which parts are needed immediately the District reserves the right to purchase the necessary parts from other sources.

All Frames:

Cold Rolled frames shall comply with ANSI ‐ A1008, A568 & A569

Galvanized frames shall comply with ANSI ‐ A653

Welded frames shall have temporary shipping bars installed.

Shall have factory applied primer.

All Doors:

Shall be polystyrene core.

Shall have visible edge seams

Shall meet ANSI – A250.8.8

Shall have factory applied primer.

All fire labeled frames shall be either UL‐listed or Warnock Hersey marked; or have passed the re‐examination testing, where such has been established by UL or Warnock Hersey for the items offered and furnished.

Due to the volatility of the cost of raw materials the District will allow a percentage increase on the fixed pricing of the items listed in this bid under one condition. The awarded vendor must supply proof of an increase in cost in the form of a signed letter from the company supplying the awarded vendor with the necessary materials stating the percentage increase amount and the reasoning behind it. A percentage increase will not be allowed until the letter has been reviewed and deemed adequate by the Purchasing and Technical Services Department and the request aligns with Term L, titled “ADJUSTMENTS TO CONTRAT TERMS AND CONDITIONS NECESSITATED BY VOLITILITY OF THE MARKETPLACE” found on page 15 of the document titled, “Bid 4097GM Steel Doors and Frames ‐ TERMS AND CONDITIONS”. Likewise, if the cost of materials were to decrease the District must be notified to make adjustments as per Term M., titled “REBATES, INCENTIVES, REDUCTIONS” found on the same page.
