About this file
This is a Technical Exhibit providing a Ship Arrival Notification and Check-Off List template for military port operations. The document establishes a standardized checklist for coordinating the arrival and departure of naval vessels, organized by notification timeframes and assigned responsibilities.
The checklist is divided into two primary phases: (1) a 72-96 hours prior notification period, and (2) a 3 hours prior preparation period. During the 72-96 hour phase, designated Points of Contact (POCs) must coordinate notifications and preparations including security notifications through NASP (Naval Air Station Port), customs and agriculture inspections, base medical notification, utility connections (electric, water, sewage), crane availability, vehicle staging, telephone services, dumpster placement, mail delivery, draft review of LOGREQ (Logistical Requirements), tug services, harbor pilot coordination, force protection briefing, pratique clearance, and local official notifications. Primary responsibility assignments include DM (Deck Manager) for most administrative notifications and POPS (Port Operations) for maritime services. The 3 hours prior phase focuses on physical pier preparations including fender placement, linehandler staging, brow (gangway) setup, signage, life ring placement, fire safety equipment, pier sweeping, guard shack inspection, and final port/security briefing. All assigned personnel must initial and timestamp each completed item, with final sign-off required by the Port Ops Officer or Deputy Port Operations Officer before vessel arrival.
