About this file

This is a Cost Proposal Worksheet for the California Arts Council's (CAC) 50th Anniversary Awards Ceremony Event Producer Request for Proposal (RFP-25-005). The solicitation seeks a qualified event producer to manage and execute the CAC's 50th Anniversary Awards Ceremony in collaboration with the Council's Ad Hoc 50th Anniversary Committee Members, CAC Executive Team, other CAC staff, and strategic partners. The event will recognize the impact and legacy of the original founding members of the Council, California artists, arts leaders, and arts organizations that have made significant contributions to the cultural and civic life of California. The contract is open to California Independent Contractors, Individuals, Sole Proprietors, Partnerships, California Certified Small Businesses (SB), Disabled Veteran Business Enterprises (DVBE), 501(c)(3) organizations registered in California, private for-profit organizations, and organizations with joint powers agreements based in California. Proposal submissions must be directed to Procurement@arts.ca.gov.

The cost proposal worksheet establishes a maximum contract amount of $90,000 for hourly fees. The budget structure includes direct labor costs organized by project milestones (Event Production Timeline & Master Plan, Intermediary Services, Vendor List and Signed Subcontractors, Run-of-Show and script, Final Event Budget & Fund Disbursement Plan and Policy, invitation design and distribution, Event Day Production, Final Vendor Payments, and Post-Event Summary Report), and other direct costs including Travel & Lodging (capped at $5,500 for travel and $7,500 for lodging), Venue, Catering, AV/Lighting and Technical Support, Decor, Entertainment, and Janitorial/Clean-Up Crew. The CAC requires bidders to provide detailed Budget Notes explaining any expenditures and reserves the right to request clarification regarding cost proposals. Bidders are expected to already possess all equipment, services, skills, permits, certifications, and licenses necessary to perform the work. Subcontracting is prohibited without prior written CAC approval. Non-consumable supplies and equipment require compelling rationale and may be negotiated or eliminated from the final contract budget at CAC's discretion.
