About this file
This is a Technical Proposal template for RFP 36-86417 issued by the State of Indiana for medication repack and preventative maintenance services. The RFP seeks a qualified contractor to provide comprehensive maintenance and repair services for medication packing equipment across multiple state facilities, including preventive maintenance, emergency repairs, consumable supply management, software licensing, and training. The scope encompasses routine preventive maintenance visits scheduled within 30 business days of request, with annual on-site visits conducted according to manufacturer guidelines. The contractor must service all assets listed in the Equipment Inventory & Locations table and be prepared to provide new equipment and related services for Logansport State Hospital should requirements arise during the contract term. Critical service requirements include resolving Priority 1 failures within 24 hours, responding to service requests within one business day, shipping consumables within five business days of order acknowledgement, and providing one day of on-site training per facility covering operational procedures, maintenance tasks, troubleshooting, and emergency protocols.
The proposal template establishes specific Key Performance Indicators (KPIs) and deliverables that bidders must address, including maintenance logs, delivery documentation, installation notices, and training completion certificates. Contractors must demonstrate compliance with federal and state pharmaceutical regulations, NIST 800-53 standards, and integration capabilities with Access Indiana Single Sign-On and state-standard data exchange tools such as MuleSoft and GoAnywhere MFT. The RFP requires bidders to confirm commitment to ship all consumables without minimum purchase requirements, replace wear items at no additional cost, provide current software licensing, and maintain appropriate incident response and business continuity documentation. Additionally, the template requests disclosure of any AI-enabled features and alignment with state AI governance policies. Bidders must offer an optional equipment replacement provision allowing the State to purchase new Auto-Print Plus 2.0 equipment at fixed costs inclusive of installation, training, shipping, and software licensing, subject to State discretion during the contract term.
