About this file

This document is an Appendix IV Cost Proposal for Event Coordination and Management for the Department of Children and Families (DCF) under Invitation to Bid (ITB) 2425 005. The solicitation requires respondents to submit a cost proposal using a specific pricing table with nine distinct deliverables, including pre-event tasks, event planning, website development, marketing, on-site management, and post-event activities. The contract appears to be effective from June 14, 2024, with a deliverable-based pricing structure.

The pricing methodology is structured as a cost-plus-fixed-fee arrangement, where the Department will reimburse the provider for actual costs incurred in organizing events, plus a predetermined fixed fee as profit. The cost proposal includes line items for various event-related services with a total pricing approach that covers labor, materials, overhead, and a fixed fee for each deliverable. The pricing table allows for flexibility in event costs while providing a standardized framework for compensation, with the understanding that actual event expenses will be fully reimbursed in addition to the fixed service fees.
