About this file

This document is an instructional guide for completing a Consolidated Maintenance Contract Inventory form used for federal facilities, particularly DeCA (Defense Commissary Agency) locations.

The inventory completion process requires standardized data entry across fourteen columns: Short Code (3 uppercase letters), Inventory Number (6 digits), Item Code (2 uppercase letters), Object Class Code (4 digits), Equipment Type, Manufacturer Name, Model Number, Serial Number, Year Purchased (YYYY format), DeCA Barcode (2 letters and 7 digits), Sub Location/Physical Location, PM Interval (preventive maintenance scheduling), Calendar Weeks PM Scheduled (2-digit numbers separated by commas if multiple), number of items if applicable, Type of F-gas (refrigerant designation if present), and Kg of F-gas (refrigerant quantity). All data must be entered exactly as it appears on manufacturer data plates and equipment labels. The first nine columns cannot be left blank; when data cannot be located, entries must use "Not Found" rather than "Unknown" or "Missing," and "Unreadable" if information is present but illegible. Special definitions distinguish ventilation systems (those with ductwork and controls) from exhaust fans (fans with no ductwork regardless of size). Sub-locations should use actual facility locations with position numbers or CAN bus addresses for refrigeration equipment, building numbers for certain locations (Germersheim, KCS), and logical functional area descriptions. Items no longer at the facility must be marked in red text for COR (Contracting Officer's Representative) removal, while new items or updates must be marked in green text for COR review and SOMS (system of systems) entry. The COR provides inventory numbers for new items.
