About this file

This is a Vendor Opt In Form from the County of Bergen Division of Purchasing, Department of Administration and Finance, applicable to vendors participating in the Roadway Repair Materials cooperative purchasing contract (BC-BID-26-26). The form establishes the terms for vendors to voluntarily elect to receive purchase orders electronically rather than by physical mail or delivery methods. The contract period runs for twelve months commencing July 1, 2025 through June 30, 2026, and encompasses the supply of various roadway repair materials including bituminous concrete, roadway patch materials, catch basin casings and covers, manhole frames and covers, asphalt solvents, roadway plates, masonry materials, and precast concrete inlets and trenches. The contract is available to the County of Bergen Department of Public Works and registered members of the NJ Cooperative Purchasing Alliance.

Vendors who opt into the electronic purchase order system agree to receive ePOs via email notification to BCPurchasing@co.bergen.nj.us and must maintain accurate contact information, monitor emails regularly, and add the County's email address to their address books to prevent communications from being filtered as spam. Vendors are responsible for confirming receipt of ePOs, which are deemed received upon delivery, and may request paper copies within seven working days if needed. The County reserves the right to modify or discontinue the ePO system at any time with thirty days' notice, or less in emergencies, and makes no warranty regarding system operation or availability. The County retains discretion to revert to traditional paper purchase orders if vendors fail to receive or respond to ePOs appropriately.

11. The County reserves the right to change the terms and conditions of this Agreement at any time, including the addition and deletion of EPO services.
