About this file

This is a Vendor Opt-In Form for Electronic Receipt of Purchase Orders issued by the County of Bergen Division of Purchasing. The form establishes the terms and conditions for vendors who voluntarily choose to receive purchase orders electronically (EPOs) from the County of Bergen rather than through traditional paper delivery methods. By signing the agreement, vendors acknowledge that they will receive purchase orders via email notification to the designated email address and understand that the County will no longer provide physical copies through U.S. Postal Service or other delivery methods. Vendors are required to add the County's email address (BCPurchasing@co.bergen.nj.us) to their address book to ensure EPOs are not filtered to spam or junk folders and must take necessary steps to monitor emails regularly and stay current with purchase orders in a timely manner.

The form stipulates that EPOs are deemed received upon delivery to the vendor's email account regardless of whether they have been read, and vendors may request paper copies of electronic purchase orders within seven working days. The County reserves absolute discretion to modify, restrict, withdraw, suspend, or discontinue the EPO system and may change agreement terms with at least thirty days' notice, except in emergencies. The County makes no warranties regarding the EPO system's operation or continuous availability and shall not be liable for indirect, incidental, special, or consequential damages resulting from the vendor's choice to receive electronic purchase orders. Vendors are responsible for updating their information with the County if any details change, including email addresses and other contact information.

11. The County reserves the right to change the terms and conditions of this Agreement at any time, including the addition and deletion of EPO services. The County may update this agreement on its website and may notify Vendor of such changes by regular mail or e-mail to Vendor’s most recent addresses that the County has on file.
