About this file
This is a Vendor Opt-In Form issued by the County of Bergen Division of Purchasing (New Jersey) that establishes the terms and conditions for vendors to receive purchase orders electronically rather than through traditional paper delivery methods. The agreement applies to vendors participating in the Golf Range Equipment and Supplies cooperative catalog contract (BC-BID-26-22), a 24-month award designed to furnish golf range equipment, accessories, repair parts, and related supplies to multiple catalog vendors.
Vendors who opt in agree to receive electronic purchase orders (EPOs) via email at the County's designated address (BCPurchasing@co.bergen.nj.us) and acknowledge that EPOs are deemed received upon delivery rather than when read. Vendors must maintain current contact information, monitor their email accounts regularly, and add the County's email address to their address books to prevent messages from being filtered to spam folders. The County reserves the right to provide paper copies of EPOs within seven business days upon request and maintains discretion to revert to traditional paper purchase orders if electronic delivery is unsuccessful. The agreement specifies that the County provides no warranty regarding the EPO system's operation or availability and disclaims liability for any indirect, incidental, or consequential damages resulting from vendor participation in the electronic system. The County also reserves the right to modify, restrict, suspend, or discontinue the EPO system at any time with at least 30 days' notice, unless circumstances involve an emergency.
