About this file

This is a Vendor Opt-In Form issued by the County of Bergen Division of Purchasing in New Jersey for vendors seeking to receive electronic purchase orders (EPOs). The form establishes the terms and conditions for voluntary participation in the County's electronic purchase order system, which replaces traditional paper-based delivery methods via U.S. Postal Service or other delivery services. Vendors electing to participate agree to receive purchase orders via email notification to designated email addresses and acknowledge that the County will cease providing physical copies of purchase orders. The agreement requires vendors to maintain accurate contact information, monitor their email accounts regularly, and add the County's purchasing email address (BCPurchasing@co.bergen.nj.us) to their address books to prevent electronic purchase orders from being filtered into spam folders. Vendors acknowledge that EPOs are deemed received upon delivery to their secure online account rather than upon reading, and may request paper copies within seven working days if needed.

The County of Bergen retains full discretion regarding the electronic purchase order system, including the right to modify, restrict, suspend, or discontinue the system with notice, and reserves the right to revert to traditional paper purchase orders if EPOs are not being received or responded to by vendors. The County makes no warranties regarding the EPO system's operation, availability, or performance, and expressly disclaims liability for indirect, incidental, special, or consequential damages, loss of profits, revenue, or data resulting from a vendor's choice to participate in the electronic system. Vendors must sign the form and provide both primary and secondary backup email addresses for receiving electronic purchase orders. The County may update the agreement terms with at least thirty days' notice, except in emergency situations, and will post changes on its website or notify vendors by regular mail or email to the most recent addresses on file.
