About this file
This is a Vendor Questions and Government Responses document clarifying requirements for an HVAC preventive maintenance contract covering multiple facilities.
The solicitation requires pricing for preventive maintenance services under CLIN 00010 based on Attachment 2, which lists 62 source records representing 101 equipment units with some grouped quantities that must be priced as single records. Contractors must include eight units with missing or NA serial numbers in preventive maintenance pricing and assume HVAC assets exist at all sites listed in Attachment 1, even those without corresponding equipment documentation. For the Center for Urban Ecology (CUE), contractors should assume one indoor head to one outdoor unit configuration except at CUE where 4 indoor heads connect to one outdoor unit with 1 additional one-to-one unit for a total of 5 outdoor units. The Nature Center water-cooled system should be excluded from CLIN 00010 pricing, with restoration addressed under a separate stand-alone CLIN. No equipment requires lift access for servicing. CLIN 00020 requires separate labor rates for after-hours, weekends, and holidays in addition to regular and overtime categories. Consumables including filters, belts, and chemicals must be rolled into a single annual preventive maintenance price rather than priced per facility. Refrigerant and cooling-tower water-treatment chemicals must be treated as corrective work rather than included in preventive maintenance pricing. Manufacturer-specific preventive maintenance checklists are not required with the quote submission but must be provided after award during the 30-day phase-in period. Equipment identified as missing from the pricing sheet should be added and priced under CLIN 00010.

Should these units be included in preventive-maintenance pricing or excluded until verification is complete?
