About this file

This specification document pertains to the California Department of Corrections and Rehabilitation (CDCR) Roof Replacement, Phase 1 project at the California Institution for Men (CIM), managed by J.C. Chang & Associates, Inc. under CDCR No. 22-090. The project specifications establish requirements for project record documentation, spare parts and extra stock materials, and demonstration and training activities. Key deliverables include marked-up record drawings in both paper and digital Revit format, annotated specifications and product data, and comprehensive spare parts lists organized by equipment category with manufacturer details and pricing information. Spare parts and extra stock materials must be delivered at least 30 days prior to project completion, properly labeled and packaged, and coordinated with the CDCR representative. Training requirements mandate qualified manufacturer representatives provide instruction to CDCR personnel with documented attendance, professional video recordings on DVD media, and self-instructive materials delivered to both the project site and a designated CDCR archive location.

The specifications require contractors to maintain record documents separately from construction documents in secure, climate-controlled storage accessible during normal working hours. A complete spare parts and extra stock materials list must be submitted no later than 120 days after Notice to Proceed and must include part descriptions, trade names, manufacturer information, part numbers, retail prices, and quantities correlated to contract specifications and maintenance manuals. All spare parts must be identical to installed components and match the same production runs as field-installed materials. Training documentation must include signed attendance sheets, continuous video recording by a professional videographer, and incorporation of any recommended changes from trainees before final delivery. The contractor is responsible for coordinating delivery schedules with the CDCR representative, providing unloading services, and obtaining signed receipts from authorized CDCR personnel upon delivery of all spare parts, keys, special tools, and test equipment.
