About this file
This is a Library Cataloging and Processing Specifications document issued by Dallas Independent School District (Dallas ISD) that establishes detailed requirements for vendors supplying library materials and services for district-wide use on an as-needed basis. The specifications apply to all Dallas ISD libraries and shared-use facilities with Dallas Public Library, including Arcadia Park Elementary and Brashear Elementary. Vendors must provide RDA cataloging, MARC 21 bibliographic records conforming to AACR2 standards, and materials classified using Dewey Decimal Classification System (DDC 23) with Library of Congress Subject Headings. All items must include Lexile measures, curriculum tags, and active URLs. The document specifies detailed cataloging requirements for nonfiction, fiction, audiovisual materials, and maker space items, along with precise processing specifications for books, e-books, DVDs, and CDs, including label placement, barcode attachment, and protective coverings. Orders must be shipped directly to schools in Dewey order within 30 days of purchase order receipt, with a maximum of two shipments per order. The contract term is three years with two successive one-year renewal options, not to exceed five years total, with either party required to provide ninety days' written notice of non-renewal intent.
Dallas ISD does not establish specific pricing terms in these specifications but requires vendors to include pricing on packing slips and to comply with Do Not Exceed (DNE) amounts designated on orders, with vendors responsible for any costs exceeding the established amount. Approved vendors for shared-use facilities include Ingram, Baker and Taylor, Midwest Tape, and Recorded Books. The specifications require 14-digit CODABAR barcodes with mod 10 check digits using the Dallas ISD institutional code 3434, with vendors requesting barcode ranges through the district's online portal. All invoices must be uploaded to the iSupplier Portal and emailed to the designated district contact. The specifications establish that vendors who do not comply with district requirements will not be placed on the approved bid list, and all questions should be directed to the Office of the Director at the provided email address.
