The contract term runs from the date of award through June 30, 2027, with the District retaining the option to renew for up to nine additional one-year renewal periods, with the final eligible renewal period ending June 30, 2036. The District estimates average annual spending of $110,000 on these items, though actual purchases may vary significantly based on sport and school rotation schedules, with no minimum purchase guaranteed.
Pricing shall be established as a percentage discount from manufacturer List Price, with cost-plus pricing explicitly prohibited. The District is tax-exempt on tangible goods, and all materials must be quoted F.O.B. Destination with freight prepaid and no additional delivery fees. Price adjustments are limited to documented actual cost increases passed from suppliers to the contractor. Payment terms are Net 30 in accordance with New Mexico law, which prohibits deposits or prepayment before delivery and acceptance. All purchases require valid, signed purchase orders, and all uniforms must comply with National Federation of State High School Association and New Mexico Activities Association regulations. Products must meet quality and durability standards for a minimum four-year useful life (except swim uniforms), and vendors may charge one setup fee per logo design with supplemental repeat orders exempt from additional setup charges. The District reserves the right to make multiple awards to ensure representation of all product categories, sports, and official school colors, and may purchase from alternative suppliers if the awarded vendor cannot provide appropriate colors or meet quoted delivery timeframes.
