About this opportunity

Jordan School District is requesting proposals for nonprofit customer relationship management software to serve the Jordan Education Foundation, with proposals due September 18, 2026 at 12:00 p.m. MDT. Vendors must be headquartered in the United States with all personnel and offices based in the U.S.; Canadian corporations are eligible if they meet minimum mandatory requirements and provide a W-8 BEN-E form. All data must be stored exclusively in the United States or Canada.

Vendors must have a minimum of three years' experience providing CRM solutions to nonprofit arms of school districts in the United States and must provide three references from similarly-sized organizations, with Utah references preferred. The scope encompasses cloud-based software for donor management, fundraising campaigns, grant tracking, volunteer management, event management, reporting, and communications. The solution must handle approximately 6,515 constituent records and 1,622 donation designations across multiple schools and programs; support 4–6 active internal users; process 10–40 manual cash donations, 15–30 credit card donations, and 180–250 employee payroll deductions monthly; and integrate with MailChimp, Google Workspace, and standard platforms such as Stripe and Microsoft Office. Data migration from the incumbent NonProfitEasy system is mandatory. The software must comply with FERPA and the Student Data Privacy Agreement and be approved through the Learn Platform before final execution.

The contract term is one year with options to renew for up to four additional one-year periods (five years maximum). Implementation begins November 1, 2026, with an anticipated Board approval date of October 27, 2026. Pricing must be guaranteed for the contract length and submitted on the provided Cost Proposal Form for each year; the current annual software spend is $2,688. The evaluation process is staged: Stage 1 filters on mandatory minimums; Stage 2 evaluates technical proposals against functional, reporting, implementation, training, security, and support criteria (3,500 points); Stage 3 includes optional presentations (up to 800 points, available to vendors scoring 2,625 points or higher in Stage 2); and Stage 4 evaluates cost (2,000 points). Total possible score is 6,300 points. Questions are due September 11, 2026 at 12:00 p.m. MDT. Addendum 3, issued September 14, incorporates all public Q&A from the Bonfire platform into the Scope of Work.
