About this opportunity

Fairfax County Public Schools (FCPS) in Virginia is seeking qualified contractors through Invitation for Bid (IFB) 2000004225 to establish term contracts for piano tuning, repairs, parts, donations, and moving services. The solicitation divides FCPS into two geographic service areas (Area A and Area B), with services available to all agencies within FCPS and Fairfax County Government. The scope of work includes annual piano tuning services meeting A-440 pitch industry standards, routine repairs such as freeing sticking keys and replacing strings at no additional cost, and major repairs exceeding $100 requiring advance written approval. Additionally, contractors must handle piano donations from community sources including evaluation, transportation, tuning, repair, and installation of dollies and humidification control systems, as well as piano moving services within Fairfax County for school transfers and disposal of non-repairable instruments. All service personnel must be available within three business days of request, maintain detailed service records, and meet FCPS workplace requirements including drug-free workplace policies and temporary identification badges. Bidders must demonstrate a minimum of three years of experience in similar services and provide three client references from the past five years. The optional pre-bid conference is scheduled for February 12, 2026, at 11:00 AM ET via Zoom, with written questions due to Contract Specialist Amber Thaxton at althaxton@fcps.edu no later than February 19, 2026, at 11:00 AM ET. Sealed bids must be submitted electronically through the Euna Procurement (Bonfire) portal at https://fcps.bonfirehub.com by March 2, 2026, at 11:00 AM ET, with public bid opening on the same date. The contract period extends from award through June 30, 2031, with three possible one-year renewal periods at the County's discretion, and all pricing must remain firm for 365 days.

Fairfax County does not discriminate against faith-based organizations or bidders based on race, religion, color, sex, national origin, age, disability, or any other basis prohibited by Virginia law, and the procurement operates as an equal opportunity purchasing organization. Bidders must identify their business classification, including size status (large or small business), minority ownership status, women ownership status, or non-profit designation, and certify compliance with ethics in public contracting requirements and debarment/suspension status. Required insurance includes statutory workers' compensation, commercial general liability coverage of $1,000,000 per occurrence/$2,000,000 aggregate, and automobile liability insurance of $1,000,000 combined single limit, with FCPS named as additional insured. All contractor employees must pass background criminal investigations and obtain identification badges, with immediate notification required if any employee is arrested or indicted during contract performance. The pricing schedule encompasses four sections: Section 1 (Area A) and Section 2 (Area B) each requesting 280 piano tuning services, 80 repair hours, 10 dollies, repair parts with percentage discounts from manufacturer's list price, and 30 humidification control systems; Section 3 covering 30 piano donation evaluations with associated services; and Section 4 addressing 30 grand/baby grand piano moving services. Bidders may submit bids for one, some, or all sections provided complete pricing is submitted for all items within selected sections, though specific budget or award values are not disclosed in the solicitation documents.
