About this opportunity
The Georgia Museum of Art (GMOA) at the University of Georgia is seeking a qualified supplier to provide a comprehensive Digital Asset Management System (DAMS) through an electronic Request for Proposals (eRFP) issued under the State Purchasing Act. The procurement aims to address current challenges with digital asset fragmentation across multiple platforms including TMS, external and personal hard drives, third-party websites, and internal servers. Key objectives include improving workflow efficiency, ensuring data redundancy, simplifying file location, and enhancing accessibility. The University intends to award a single contract with a one-year initial term and potential for up to four annual renewals. Proposals are due by May 12, 2025, with the solicitation posted on May 2, 2025, and the contract will be awarded to the highest scoring responsive and responsible supplier who can meet the specifications outlined in the Bid Specifications document. Evaluation will focus on the supplier's ability to customize and implement a DAMS that meets GMOA's specific organizational needs.
While specific set-aside designations are not explicitly detailed in the provided documentation, the procurement is located in Clarke County, Georgia, which may have local vendor preference considerations. The current technological infrastructure involves disparate storage systems including The Museum System (TMS), external hard drives, personal storage, third-party websites, and internal servers, suggesting potential complex integration requirements. No incumbent vendor is mentioned, and specific budget ranges are not disclosed in the available information. The procurement appears to be open to technology vendors specializing in digital asset management solutions who can demonstrate capability to create a centralized, efficient system for managing the museum's digital assets. Interested suppliers will need to carefully review the full Bid Specifications document to understand the complete scope of requirements and potential implementation expectations for the proposed Digital Asset Management System.
Opportunity text
Purpose of Procurement Pursuant to the State Purchasing Act (Official Code of Georgia Annotated 50-5-50 et seq.), this electronic Request for Proposals (eRFP) is being issued to establish a contract with a qualified supplier who will provide a Digital Asset Management System (DAMS) to the The Georgia Museum of Art (GMOA) at the University of Georgia as further described in this eRFP. Currently, digital assets are scattered across various platforms, including The Museum System (TMS), external organizational hard drives, personal hard drives, third-party websites, and internal servers. This fragmentation leads to inefficient workflows, lack of data redundancy, difficulty locating files, and inefficient accessibility. The goal of this solicitation is therefore to procure a DAMS that can be customized and implemented for the Georgia Museum of Art to accomplish the goals and objectives outlined in our Bid Specifications document. The University's preferred award structure is a one-year Agency Contract with up to four annual renewals thereafter. This will be a single contract award to the highest scoring responsive and responsible supplier with whom the University can come to agreement on terms and conditions.
