About this opportunity
Atlanta BeltLine Inc. (ABI) is seeking a full-event production management services provider to execute public event activations during summer 2026. The procurement aims to engage communities, support local businesses, showcase Atlanta's arts and culture, increase Beltline visibility, and promote tourism through an estimated four to eight large-scale events including watch parties, cultural showcases, and merchandise pop-ups. Qualified firms must provide comprehensive event production management services, encompassing site visits, detailed production planning, permit acquisition, inclement weather preparation, security coordination, vendor management, and post-event reporting. The RFP requires a minimum of five years' experience in large-scale festival or civic event production, with demonstrated ability to manage multi-day, multi-location events with over 1,000 attendees. Evaluation criteria are weighted across multiple factors: Project Understanding & Approach (25 points), Relevant Experience (25 points), Proposed Team & Capacity (15 points), Safety, Risk & Accessibility Plans (15 points), Community/DBE & Local-Hire Strategy (10 points), Sustainability Plan (5 points), and Cost Proposal (5 points). Key procurement dates include a virtual pre-submittal meeting on December 3, 2025, at 9:00 AM EST, question submissions due by December 10, 2025, at 4:00 PM EST, and proposal submissions due on January 9, 2026, by 4:00 PM EST via the Bonfire portal.
The procurement is exclusively open to Georgia-based firms or national firms with a physical Georgia location, with a strong emphasis on Disadvantaged Business Enterprise (DBE) participation. ABI has established a 30 percent DBE participation goal, actively encouraging certification and inclusion of Female Business Enterprises (FBEs), Minority Business Enterprises (MBEs), Small Business Enterprises (SBEs), and Small Disadvantaged Businesses (SDBs). Respondents must provide documentation of good faith efforts toward diverse business inclusion and comply with specific insurance requirements, including $1,000,000 general liability per occurrence, $1,000,000 automobile liability, and $2,000,000 professional liability. All insurance carriers must maintain an A.M. Best rating of A- VII or higher and name ABI, the City of Atlanta, and The Atlanta Development Authority as additional insureds. The total project budget is capped at $2,000,000, with ABI reserving the right to make single or multiple awards, cancel the RFP, or negotiate with alternative ranked firms if initial negotiations fail. Proposers must submit comprehensive documentation including a cover letter, firm description, project team information, team experience examples, project approach, sample budgets, references, and a separate sealed cost proposal.
