About this opportunity

Florida Atlantic University (FAU), a state institution located in Palm Beach County, Florida, is seeking to establish a pool of qualified suppliers capable of providing external event venues through an Invitation to Bid (ITB) process. The procurement involves soliciting venue providers who will be awarded framework agreements with an initial five-year term and two optional two-year renewals. When specific venue needs arise, FAU will issue Requests for Quotes (RFQs) to the awarded vendor pool, with awards made to the firm or firms that best meet FAU's requirements at the time of each RFQ issuance. Bidders must submit proposals through FAU's electronic sourcing system and are required to acknowledge and agree to FAU's standard Purchase Order Terms without objection, or alternatively submit proposed modifications as an attachment. All bids must be received by April 10, 2026, with the posting date of March 11, 2026; bidders should monitor the FAU Procurement Services website at https://www.fau.edu/procurement/bid-info/ for addenda and award decisions, and direct all written questions to the sole point of contact, Lisa Buck, Purchasing Agent III, using the Q&A section of the electronic system. Qualified vendors must demonstrate capability in providing suitable event venues and comply with all applicable regulations, including Executive Order 11246 regarding non-discrimination and equal opportunity practices.

The ITB conditions do not identify any specific set-aside designations for disadvantaged enterprises, minority-owned businesses, or other special classifications; however, all bidders must disclose conflicts of interest and those expecting to receive $10,000 or more in orders during the first 12 months must provide a certificate of non-segregated facilities. Vendors are required to identify any subcontractors they intend to use in their bid response. No incumbent vendors or current contractors are identified in the solicitation documents, and the procurement does not reference any existing infrastructure or technology requirements for integration. The solicitation documents do not specify a budget range or award value; pricing and financial terms will be established through individual RFQ responses issued to the awarded vendor pool during the contract term. All submitted materials become public records under Florida law, and any entity filing a protest must post a bond as prescribed by Board of Governors' Regulation 18.003. FAU is exempt from federal excise and sales taxes on direct purchases, and this ITB is governed by Florida law and does not constitute a binding commitment until a written agreement is executed by an authorized FAU signatory.
