About this opportunity

Boulder County is seeking qualified vendors to supply HVAC air filters for county facilities, with bid submissions due October 29, 2026 at 3:00 p.m. via Microsoft Teams. The scope includes pleated panel filters (Type I MERV8 and MERV8-A high-capacity) and extended surface filters (Type III MERV14 rigid box filters for VAV systems) across 15 different size configurations ranging from 16x20x1 to 24x24x4 inches, plus three additional 12-inch extended surface sizes.

All filters must meet ASHRAE standards 52.1 and 52.2 and UL900 flammability compliance. Vendors must demonstrate capability to custom manufacture high-capacity MERV8 filters in 1-inch and 2-inch thicknesses and provide proof of ASHRAE standard compliance or facility-specific performance ratings. Samples of 24x24x2 MERV8 filters must be delivered to Boulder County Building Services at 5600 Flatiron Parkway, Boulder, Colorado by October 28, 2026.

Pricing must include free delivery with no minimum order requirements, as Boulder County lacks vendor-pickup capacity. Delivery timelines require 1-inch, 2-inch, and 4-inch filters within 7 business days of order and 12-inch filters within 30 days. Invoices must exclude credit card processing fees, merchant fees, and any surcharges. No sales tax or use tax may be included in pricing. Prepaid freight shipments must include a copy of the freight bill with the invoice.

Performance is at multiple locations in Boulder and Longmont, Colorado. No contract value, term, renewal options, or incumbent information is specified. Vendors must submit complete bids with no partial submissions accepted. Questions should be directed to procurement@bouldercounty.gov.
