About this opportunity
The Elk Grove Unified School District (EGUSD), the fourth-largest school district in California serving over 63,000 students across 69 schools in Sacramento County, is procuring athletic trainer services through Request for Proposal (RFP) #826-25/26. The District seeks qualified vendors to provide licensed and certified athletic trainers to nine comprehensive high schools (Cosumnes Oaks, Elk Grove, Florin, Franklin, Laguna Creek, Monterey Trail, Pleasant Grove, Sheldon, and Valley High Schools) for approximately 700 hours per site annually, operating primarily from 2:30 PM to 7:30 PM Monday through Friday with occasional Saturday availability. Athletic trainers will serve as first-response healthcare professionals providing injury prevention, evaluation, emergency care, treatment, rehabilitation, concussion management, heat illness monitoring, and environmental monitoring for student-athletes. All athletic trainers must hold active California Athletic Trainer Licenses, current Board of Certification (ATC) credentials, master's degrees in athletic training from CAATE-accredited programs, and maintain current CPR/AED, First Aid, BLS for Healthcare Providers, mandated reporter training, and sexual harassment prevention training certifications. Contractors must conduct Live Scan DOJ/FBI background clearances and negative TB testing for all employees, maintain professional liability insurance with specified limits, provide electronic injury documentation software at no cost to the District, supply substitute trainers for absences and special events, and comply with all California Interscholastic Federation rules and state education code requirements including FERPA, HIPAA, and SOPIPA privacy compliance. The contract term begins July 1, 2026, through June 30, 2027, with four optional one-year renewal periods available for a potential five-year contract duration subject to mutual agreement and Board approval. Sealed proposals must be submitted electronically through the EGUSD Online Bonfire Procurement Portal by April 17, 2026, at 4:00 P.M. PST, with questions accepted through April 9, 2026, at 4:00 P.M. PDT. Proposals will be evaluated using a weighted scoring matrix: proposer price (20 points), method of approach and service delivery capability (40 points), qualifications and experience (40 points), and references (pass/fail), with Board approval scheduled for June 23, 2026.
The RFP does not specify any set-aside designations for disadvantaged enterprises or restrictions limiting eligible respondent types, indicating that all qualified vendors meeting the professional and operational requirements are eligible to respond. No incumbent vendor or current contractor information is listed in the procurement documents. Contractors are required to provide their own electronic injury documentation software at no charge to the District, and the system must be capable of integrating with District operations and complying with applicable data privacy regulations. Specific award values or budget ranges are not disclosed in the procurement documents; however, proposers must submit hourly pricing for all nine sites across all five contract years on a cost-per-hour basis, with each site requiring 700 hours annually and proposers providing total annual fees and cumulative five-year cost calculations. Pricing shall remain firm throughout the initial one-year term, with any subsequent renewal year increases subject to District approval and requiring documentation of manufacturers' increases. The District reserves the right to reject any and all proposals in whole or in part, waive any irregularities in the bidding process, make multiple awards, or make no award at all.
