About this opportunity
Macon-Bibb County is requesting professional services proposals for fleet management services, with responses due August 6, 2026 at noon and a question deadline of July 16, 2026 at 3:00 p.m. Eastern time.
The scope encompasses a comprehensive fleet management software solution supporting fleet maintenance management, preventive maintenance scheduling, work order management, asset lifecycle tracking, reporting capabilities, and mobile access for drivers, supervisors, technicians, and executive leadership. This is a new implementation; Macon-Bibb County does not currently operate a fleet management software platform. The solution must integrate with the County's existing Esri ArcGIS enterprise GIS platform and Microsoft 365 environment. The vendor will receive API documentation and interface specifications during implementation, though no data migration from a predecessor system is required.
The anticipated budget is approximately $45,000. The County anticipates an initial one-year agreement with three automatic one-year renewal options subject to contract terms and annual appropriations.
Proposers must submit the original proposal plus five copies and a Flash Drive to the Macon-Bibb County Procurement Department, 700 Poplar Street Suite 308, Macon, Georgia 31201. Insurance coverage must be obtained prior to work commencement and maintained throughout the contract period, with policies carried by companies licensed in Georgia and rated A or better by Best. Required coverage includes Workers Compensation at statutory limits, Errors and Omission of $1,000,000, and General Liability of $1,000,000, with Macon-Bibb County named as additional insured. Proposers must submit completed Attachment A documents including bidder qualification forms, subcontractor lists, minority participation statements, financial and legal stability certifications, debarment certifications, non-collusion affidavits, the Macon-Bibb County vendor application, Form W-9, and an E-Verify affidavit. Firms may self-identify as minority-owned, women-owned, disabled-owned, or veteran-owned businesses on the vendor application. Firm names will be publicly announced on August 6 at 2:00 p.m. in the Procurement Department Conference Room.
