About this file
This document is a technical instruction guide for implementing Multifactor Authentication (MFA) on the myILMS Procurement Portal. MFA is a security requirement mandated by the Department for ServiceNow systems to satisfy Identification and Authentication control requirements. The guide explains that MFA applications are free to use and do not require internet or cell tower connectivity to function. MFA combines two authentication factors—personal knowledge (username and password) and physical possession (a registered device displaying a random code)—to reduce the risk of compromised accounts.
The document provides detailed setup and login instructions for three MFA platforms tailored to different user needs. Google Authenticator is recommended for users with smartphones, utilizing QR code scanning on the device to generate time-based authentication codes. Authy is presented as an alternative for users without smartphones, offering setup via Google Chrome browser extension or desktop application, with flexibility in verification methods including call or SMS options. WinAuth is designed for users without phones, enabling desktop-only setup without requiring any mobile device for initial configuration. All three platforms generate six-digit authentication codes that users must enter during login, with codes expiring after 30 seconds. Each guide includes step-by-step instructions for initial one-time setup and subsequent login procedures, emphasizing that MFA is required for every Procurement Portal access and that each account must be used only by the registered user.

Multifactor Authentication
Multifactor Authentication
OVERVIEW
Multifactor Authentication (MFA) is an extra layer of security designed to help authenticate a user’s identity every time they log in to the Procurement Portal. It is required for ServiceNow systems to satisfy the Department’s Identification and Authentication control requirements.
MFA applications are free to use.
MFA does not require internet or cell tower connectivity to function.
Multiple platforms are currently available for users within ServiceNow, based on their MFA preferences and access to authentication devices.

USER SPECIFIC NEEDS
For users with a smart phone… Google Authenticator is a great MFA tool that is developed with a smartphone app that users can download directly to their personal devices. Each login attempt will notify users of an attempt which can be approved via an in app notification. Note, a smartphone is required for setup.
For users who do not have a smart phone… Authy is an alternative that offers setup that does not require a smartphone, and provides alternatives to an app verification method. Authy provides desktop methods and added security for shared public devices.
For users who do not have a phone… WinAuth provides users with a setup method to completely bypass setup with a phone. This method is simple and easy to use for users who will be using only a desktop device
