About this file

This is a Bid Form for the School Board of Sarasota County, Florida's Invitation to Bid #26-0158 for Safety & Security Systems: Services, Parts, & Consumables, with electronic submissions required by March 10, 2026, at 1:00 p.m. EST. The procurement establishes a one-year vendor contract with two optional one-year renewal periods covering 72 manufacturers of security equipment, consumable products, and labor services across 52 school and department locations throughout Sarasota County. Bidders must submit firm percentage discounts off current manufacturer's suggested retail price (MSRP) for each listed manufacturer and product category, firm fixed unit pricing for consumable items including ID badge clips with tiered quantity pricing, and hourly labor rates for installation, repair, and maintenance services. Service work includes new installations and repairs of security camera systems, security alarm systems, access control systems, and gate systems, as well as annual bi-annual gate system inspections. Recommended awards will be posted on or about April 14, 2026, with Board action scheduled for April 21, 2026, at 10:00 a.m. EST. Questions must be submitted by February 24, 2026, with addenda posted by February 25, 2026.

Bidders must provide separate hourly rates for standard working hours (Monday-Friday, 7:00 a.m. to 5:00 p.m.) and non-standard hours (before 7:00 a.m., after 5:00 p.m., and weekends), with all labor rates including travel time and consumable supplies. A maximum 10 percent markup is permitted on incidental parts and materials billed at net cost, with no markup allowed during declared disaster situations. Contractors performing installation, repair, and maintenance of security alarm systems or access control systems must hold a current State of Florida Electrical Contractor license classified as either Class EF (Alarm System Contractor I) or Class EG (Alarm System Contractor II). Bidders must submit three commercial references demonstrating comparable work experience within the preceding 36 months, certify compliance with the Jessica Lunsford Act background screening requirements, maintain appropriate insurance coverage, and be registered with the E-Verify system. The School Board reserves the right to award on an all-or-none basis, by category, or to multiple vendors as deemed in its best interest, with no guarantee regarding total dollar value.
