Vehicle Graphics

Addendum No. 3

DATE: June 17, 2026 TO: All Interested Bidders and Other Interested Parties FROM: Gabriela Ruela, Procurement Specialist

Be advised of the following changes, additions, deletions, information, and/or clarifications to the subject solicitation. Only written questions anseered in writing by formal Addendum will be binding. Oral and other interpratations or clartifications will be without legal effect. Questions received after the due date for questions will not be given any consideration. Respondents are reminded to review the original solicitation and all issued addenda, if applicable. Respondents must acknowlege all issued addenda, if any. Failure to acknowlege may result in the Respondent’s submittal being deemed non-responsive.

The Solicitation is hereby changed accordingly:

Q1: Are the vehicles quantities exact or are they estimated?

A1: Quantities are estimates and for bid purposes only. The number of vehicles purchased and the number of accidents each year varies.

Q2: Which graphic design goes with which vehicle? Are the following Police or City Vehicles?

A2: All vehicles listed below are Police vehicles. The graphics are exactly the same on every vehicle, but it is up to the vendor to size and format correctly to fit each vehicle type.

Q3: Are ALL decals on the Motorcycle Reflective?

A3: Yes.

Q4: On the city Vehicles – are there other graphics not visible in the picture supplied. EX:

Rear/Tailgate graphics.

A4: No. Black City logo on each door and 5-digit unit number on each door and tailgate.

Q5: Scope – A: Are the graphics installed by city personnel or our contractor?

A5: Graphics on Police vehicles and garbage trucks are to be installed by the vendor. City logos and unit numbers will be purchased when needed and installed by the City.

Q6: Scope – B: Bid items & quantities are estimated for the comparison of bids received.

Does this mean that once the bid is awarded and electronic files received, if item quantities decrease or increase there is an opportunity to review and submit correct pricing?

A6: No. Prices remain as bid for the contract term of 1 year. Price increases can be submitted and reviewed upon contract renewal.

Q7: What is the required turnaround time from once an order is received to when installation needs to occur?

A7: There is no set turnaround time but 7 calendar days from order to install would be reasonable.

Q8: If an installation occurs on site, what does the site look like? Covered and inside?

Outside with a cover? Outside and no cover?

A8: We would provide an inside bay at the Fleet garage for installs. We also have a covered carport area that can be used.

Q9: Can a site survey be completed to see current graphics on the vehicles and confirm vehicle measurements?

A9: A sample vehicle of each type can be provided for photos, measurements, etc., before any printing or installations occur to ensure proper layout and configuration.

Q10: Vehicle Availability – What phase is the expectation for installation? Before or after the vehicle is outfitted?

A10: Both. Some vehicles are new and some are post-accident, in service vehicles. During new builds we get them done when both parties availability align.

Q11: Is there a Brand Guide that can be provided once the bid is awarded to ensure the correct use of each graphic element?

A11: The City logo is the only branded image. Existing vehicle graphics would be used as a guide for graphic placement.

Q12: Do the electronic files that will be provided show current sizing.

A12: No. To be clear, the only electronic file to be provided is the City logo. Police vehicle graphics are to be designed and formatted by the vendor to match existing City vehicles.

Q13: Will Vin #’s be supplied for each vehicle?

A13: If needed, the City will provide this information.

Q14: Is the list of decals below for the Police Vehicle, correct?
