About this file

This document is an instruction guide for completing a price list spreadsheet for state and local contract opportunities with the State of Mississippi Office of Procurement, Technology and Facilities Management (OPTFM).

The spreadsheet requires bidders to populate thirteen columns with specific product and pricing information. The Supplier column (A) must contain the manufacturer name repeated for each line item. The Supplier Part Number column (B) requires unique part numbers with no duplicates permitted. The Short Description column (C) is limited to 99 characters maximum and must contain unique, specific product descriptions including packaging information, with duplicate entries flagged in red. The Long Description column (D) provides additional item details and packaging specifications. The Product Group column (E) must be populated using NIGP codes from a provided reference tab. The Contract Price column (F) requires the discounted price to the State of Mississippi formatted to two decimal places. The Contract Number column (G) is left blank for OPTFM completion. The MSRP column (H) requires the suggested retail price with two decimal places. The Delivery in Days column (I) must contain the maximum delivery timeframe as a single number, not a range. The Unit of Measure column (J) requires entries in all capital letters using the provided UOM worksheet. The Hyperlink URL column (K) must reference the manufacturer's website for the specific product. The Manufacturer column (L) contains the single manufacturer name for all line items. The Manufacturer Part Number column (M) requires unique part numbers matching supplier part numbers where applicable, with duplicate entries automatically deleted.

The spreadsheet is locked and password-protected to prevent unauthorized alterations. Bidders may only enter data in the designated columns as outlined and cannot modify column widths; text will be made visible by the analyst upon submission. Unused rows must be deleted prior to submission. All monetary amounts must be formatted to two decimal places, with prices entered as whole numbers automatically converting to currency format (for example, 100 becomes $100.00). The system enforces data validation requirements, displaying error messages when duplicate entries are attempted in unique fields and preventing submission of entries exceeding character limitations.
