About this file
This document is an instructional guide issued by the State of Mississippi's Office of Procurement, Technology and Facilities Management (OPTFM) on how to complete the Internal Catalog Spreadsheet for state and local contract opportunities. The guide provides detailed specifications for suppliers and manufacturers submitting product catalogs to Mississippi state purchasing contracts.
The spreadsheet requires suppliers to populate specific columns with required information including: Supplier Name and ID (obtained from OPTFM at 601-359-3409), unique Supplier Part Numbers, Short Descriptions (maximum 99 characters, no duplicates across the entire column), Long Descriptions with packaging details, NIGP Product Group codes (selected from a provided worksheet), Contract Prices and MSRP (both formatted to two decimal places), Special Search Terms separated by commas, maximum Delivery in Days (input as single value, not ranges), Unit of Measure in all capitals (using provided UOM worksheet), manufacturer website hyperlinks, Manufacturer name (same for all line items per contract), and unique Manufacturer Part Numbers. The spreadsheet is locked and password-protected, permitting only data entry in Sheet 1 (which should be renamed to the manufacturer's name), with no ability to widen columns; suppliers must delete unused rows and continue typing information in cells as needed for visibility upon analyst review.
