Project: Kitchen Hoods & Ducts Exhaust Systems, Water Wash Systems and Dryer Vent Maintenance Subject: Site Visit Meeting Minutes

The site visit for the above subject project was held on 15 March 2018, beginning at 0900 hours at building 5800, JBER BX Food Court.

1. INDIVIDUALS WHO ATTENDED:

Marron Hak United Technologies Services Michael Rock Gravel Taylor Fire Protection Don Garner Veteran Ability Jimmie Myers Veteran Diversified Services L.V. Lewis Veteran Diversified Services Mila Realon 673 CES Nick Parsons 673 CONS

2. Scope

Attendees were taken via 15-passenger van to a few high-use/high-concern areas included in the PWS. In addition, the following items were discussed:

- The Contractors asked if the Government would allow any exclusions to clean-ing/maintenance during the Winter months (Dec – March), as temperatures tend to sometimes drop below 10 degrees farenheit, making it difficult to work on the roof top fans in those conditions. Mrs. Realon, 673 CES representative stated that it would be highly unlikely but the question would be posed to Civil Engineering leadership, whether or not they would consider allowing it.

- In addition, multiple contractors recommended that the fusible link requirement be removed from the PWS because the nature of the requirement, limits competition due to the use of proprietary manufacturers specifications (e.g. Only Gaylord certified in-dividuals could inspect/replace them), or reduce the need for semi-annual replacement because it would be overly burdensome to the contractor and likely really costly for the Government.

- Regarding PWS paragraph 3.1(c), a question was asked whether ceilings should be included in the lint removal requirement. Mrs. Realon said she would pose the ques-tion to 673d CES leadership and provide a response.

- Regarding PWS paragraph 3.1(d), a question was asked whether contractors could power wash the buildings to meet the “exterior” lint removal requirement instead of performing this via extended ladder, Boom lift, etc.

- The question was asked whether or not the repair/replacement of dryer vents should be included in the PWS. Mrs. Realon said she would pose the question to 673d CES leadership and provide a response.

- The question was asked whether the Government could provide floor plans of the var-ious buildings that illustrate where the backflow systems (relatively) are located with-in the buildings. Mrs. Realon stated that she would work on providing drawings but that these could likely be something that could be provided to the awardee upon con-tract award.

- It should be noted that the dryer hoses do not always flow out to “1” single vent. Offe-rors shall make note that various buildings will have different makeups (i.e. 4 dryers on 1 single vent, some dryers have their own vent, etc.).

- The question was asked whether the contractors are to dispose of “reclaimed water” or is that something that the government would take care of themselves?

- One contractor proposed that the HRU’s be a completely separate line item due to the complexity of cleaning them.

- The government highlighted the fact that the due dates for proposals will be on 23 March 2018 at 4:00pm AST.
