MEMORANDUM FOR RECORD

FROM: 50th Contracting Squadron, PKA, Schriever AFB CO 80912

SUBJECT: GLEN 17-1702 / Parking Lot Light Poles

1. On 13 September 2019 at 0900 hrs, a meeting was conducted for the subject construction project on Schriever AFB, CO to replace one hundred seventy six (176) 30-foot to 40-foot tall aluminum parking lot light poles in sixteen (16) surface parking lots in various locations outside the SAFB Restricted Area. Twenty-nine (29) of these aluminum parking lot light poles have already failed from the near constant oscillation and vibration due to wind.

2. Twenty-four (24) personnel were in attendance. See the attached sign in sheet.

3. Topics discussed during the meeting included the following:

A. Contractors will be submitting the following topics/questions via Request for Information

(RFI):

i. SAFB procedures for unescorted access on to the base post-award.

ii. Should any contractor find a design-flaw that influences a monetary change to their proposal, questions should be submitted prior to proposal submission.

iii. The CO noted several times that any additional questions to include the above topics should be submitted via RFI, and the Government will respond to all questions in a consolidated document posted to the Government Point of Entry.

iv. The CO reiterated important dates for the solicitation: RFIs from Contractors due 18

September 2019, no later than 2:00PM MDT; Request for Information Responses to

Contractors due 23 September 2019, no later than 4:00PM MDT; and Contractor

Proposals due 1 October 2019, no later than 2:00PM MDT.

v. Staging will be situational. A job trailer is normally allowed along with a laydown/staging area for each consolidated area of operation.

vi. Condition of light poles/wiring bases: If these differ from the design analysis, this would be brought to the Government’s attention pre-award. If discovered post-award, this would be addressed through a modification.
