About this file
This is a pricing template and submission workbook for a Student Information System (SIS) software procurement by the Texas A&M System, specifically targeting Texas A&M University - Victoria for near-term implementation with tiered pricing models for future adoption by other A&M System universities. The document requires vendors to provide comprehensive pricing information across three distinct models: Pricing Model 1 for Texas A&M University - Victoria (TAMUV) only, Pricing Model 2 for a second tier of universities, and Pricing Model 3 for additional tiers, with pricing structured to reflect increased volume. Vendors must submit complete responses to all workbook sections for the SIS solution and services, with failure to comply rendering proposals non-responsive. The document does not specify response dates, due dates, site visits, bidder conferences, or award dates, as this is a template for vendor completion rather than a formal solicitation notice.
Vendors must present cloud subscription-based pricing with explicit cost calculations showing basis for fees (per employee, user, usage, transaction, or other metrics), services included in the subscription, support tier options (Bronze, Silver, Platinum if applicable), excess data storage fees, payment periods, standard contract terms, and provisions for subscription volume changes during the contract period. The template requires vendors to provide one-time implementation costs including installation, training, change management, solution design, development, data migration, and testing, followed by ongoing operational expenses covering annual maintenance and subscription fees, additional solution components, upgrades, training, non-production environments, and premium support across a five-year projection period. Vendors must also address contract term options, renewal caps, data exit strategies, user true-up processes, tiered discount schedules, billing and reporting capabilities, dependent solutions, professional services rates with maximum year-over-year increases, private AI node costs, and the timing of when subscription charges commence during the implementation phase.

Instructions:
Vendors MUST provide a complete response to all sections in this workbook for SIS solution and services. Failure to comply may render the proposal non-responsive. Please follow the instructions in each of the worksheets and attach additional documents to this template where requested.
Unless otherwise noted, all worksheets MUST be populated by the vendor.
Pricing Approach
| Overview of Your Pricing Approach |
| Instructions: |
A&M System assumes that vendors are offering a cloud subscription pricing approach. A&M System's expressed desire is for a near-term implementation of Student Information System for Texas A&M University - Victoria. A&M System additionally has interest in Student Information System (SIS) pricing as an informational point of reference, as A&M System's other universities will need to modernize their SIS in the future. Please use the Pricing Model sections below to provide pricing for initial contracting for Texas A&M - Victoria only as well as other Tiers should additional Universities choose to modernize their SIS. (Assuming each Tier is based on increased volume as determined by vendor).
| a) Basis for Fee (e.g., by employee, user, usage, transaction, revenue). Please show this explicitly in the pricing tabs, so we can see the calculation that results in the associated cost. |
| b) Services Included in Fee (e.g., does it cover upgrades/ updates? Does it cover provision of other non-production environments, such as test and sandbox? Does it include training resources? If so, what level? What level of support is covered? Does it include hosting of any other 3rd party or A&M System solutions in our application ecosystem?) |
| c) Support Fee Options (i.e., Bronze, Silver, Platinum) options if applicable. Please attach/provide documentation to explain. |
| d) Excess Data Storage Fees |
| e) Payment Period (e.g., monthly) |
| f) Standard Contract Term Period (i.e., number of years); Optional Term Periods offered (i.e., 3-year vs. 5-year vs. other) |
| g) Handling of Changes in Subscription Volume During Contract Term (i.e., reductions, increases) |
| h) Renewal Caps |
| i) Additional Fees |

Additional Pricing Info
| Additional Pricing Information |
| Instructions: |
Vendor must respond to each request for additional pricing information. Please be sure to clearly state how the response differs for each pricing model, if applicable.
| Additional Pricing Information | Vendor Response |
| Outline the options clients have with length of contract terms and purchasing options, such as monthly or yearly. Include any discounts offered for subscribing to lengthier terms. | |
| Please describe any potential additional fees required of A&M System for the lifetime of the Contract. This would include information that the results from vendor requests (e.g., usage audit). | |
| Outline the specific environments that are supported with your pricing (e.g., dev, test, training, production). Describe any pricing variations at the region, BU, customer base, user grouping, etc. levels. | |
| Describe how you provide timely notification of new features and charges for new features on standard upgrade roadmap; anticipated pricing changes or add-on options. What is the minimum lead time before being required to adopt a new feature and lead time before being required to pay additional fees for a new feature? Can re-branding / re-bundling of solution features and options increase A&M System pricing within the subscription period? | |
| What options do clients have for exiting the service, with minimal migration charges? Please provide the recommended approach to migrating data out of the system. How much time do clients get to copy/remove their data upon issuing an intent to terminate? | |
| What true-up processes are available to clients to easily add and remove users and services? What is the cost recovery model for adding/removing users? | |
| Please outline any tiered or discount schedule by number of users by module. | |
| Please outline your self-service or automated granular billing and reporting capabilities. How does your solution enable custom tagging or use of metadata to determine usage by user type, department, location, BU, etc.? | |
| Please provide and outline any indirect usage charges that are part of your software license policy. | |
| Clearly articulate exactly when the yearly subscription or maintenance charges begin (i.e., when contract signed, at beginning of implementation when environments stood up; ramp-up during implementation; not until first go-live; other. | |
| Please identify your solution(s) (beyond SIS) which are required to successfully implement your SIS solution(s). For example, if the implementation of your SIS solution(s) is dependent upon the implementation of your Financial, Human Capital, or other solution offerings, identify the dependent solution(s)/module(s). If your SIS solution(s) are not dependent on any of your other solution(s) (i.e., your SIS solution(s) are offered as standalone solution(s)), please state as much. All dependent solutions must be clearly identified and the associated pricing reflected in this Pricing workbook. | |
| Please outline any additional costs associated with private AI nodes, if applicable, and confirm if A&M System will be charged more to incorporate new AI capabilities in the future. | |
| Please provide the rates of available professional services to aid in implementation, deployment, and support. What is the maximum % increase YoY for the rates provided? |
One-Time Costs

| Instructions: |
Include applicable one-time costs that you typically recommend providing. These are costs incurred once during the implementation period (exclusive of any software subscription or maintenance costs). These are costs above and beyond the implementation vendor (systems integrator) costs. Examples are provided.
