About this file

This is Addendum No. 1 to a Request for Proposal issued by the Citrus County School District in Florida for an Audio-Visual Upgrade to the Curtis Peterson Auditorium, released on August 25, 2025. The addendum addresses twenty-three questions submitted during the site visit and pre-bid meeting, clarifying project requirements and specifications. The original solicitation deadline of Tuesday, September 9, 2025 at 2:00 PM remains unchanged. Key clarifications include: the projection screen dimensions are approximately 17 feet wide by 20 feet tall; the total project budget is $90,000 for both Option 1 and Option 2, with proposals exceeding this amount subject to non-responsive determination; the auditorium requires a tactile audio mixer to accommodate both district and community users; the current audio system utilizes a Q-SYS Core 110f audio processor with 16 input channels (presently using approximately 14 channels including stage floor mics, side stage mics, ceiling mics, wireless receivers, and a CD player); and a new mixing console is not required for Option 1 but may be included in Option 2. Microphone requirements include at least one wired handheld and four wireless handhelds with four body packs containing lavalier microphones. The control room features 1-foot-thick block walls flanking the stage suitable for screen mounting, and the projector is currently positioned approximately 95 feet from the projection screen, with no permanent projector installation currently in place.

The addendum emphasizes that respondents must describe internal controls ensuring compliance with Executive Order No. 22-216 regarding products and software manufactured in China. Digital copies of auditorium construction and AV drawings are unavailable; however, blueprints are available for reference and personal inspection only in the control room and cannot be distributed. A rudimentary wiring diagram of the current control room setup is provided as an attachment, though comprehensive documentation is not available. Respondents may submit bids either electronically via VendorLink or by hand delivery and mail. The evaluation criteria weight warranty significance higher than training or cost of services due to the importance of equipment coverage terms and manufacturer-specific warranty variations. Service Response Levels are separate requirements that must be met in addition to standard warranty offerings for both options. Questions regarding the addendum should be directed to Shawn Owen, Purchasing Specialist-Bid Management, at owens@citrusschools.org or (352) 726-1931 ext. 2418.

ADDENDUM NO. 1

August 25, 2025

2026-06-RFP Audio-Visual Upgrade for Curtis Peterson Auditorium

The original solicitation documents shall remain in full force and effect, except as modified herein, which shall take precedence over any contrary provisions in the prior documents. The original solicitation deadline shall remain the same date and time of Tuesday, September 9, 2025 @ 2:00PM. Respondent MUST acknowledge receipt of this Addendum on the Acknowledgement Form where requested.

This addendum is being issued to answer questions received at the Site Visit/Pre-Bid Meeting and to release attachments.

Questions/Answers:

Q1: What are the projection screen dimensions?

A1: The dimensions of the current screen are approximately 17ft wide by 20ft tall when fully lowered to the stage.

Q2: How much is the "enhanced scope" budget? 125K? 150k?

A2: The budget for the entire project is currently set at $90k, applicable to both option 1 and option 2.

Any proposals exceeding this amount will be assessed during the proposal evaluation and may be declared non-responsive and will not be evaluated.

Q3: Is there a need for hands-on/tactile mixer or will a fully automated mixer work for the staff?

A3: This space is utilized by both community members outside the district and those within, so a tactile mixer would be the preferred option.

Q4: Will the blueprints in the control room be scanned and be available for download?

A4: The blueprints in the control room cannot be verified for accuracy and therefore were made available for reference and personal inspection only and not for distribution.

Q5: Is there a wiring diagram of the control room materials?

A5: See attached rudimentary diagram for the current setup of the control room; however, a comprehensive diagram is not available.

Q6: What`s the school district`s/vendor`s programming set-up of the Q-SYS Core?

A6: The Q-Sys Core 110f audio processor was purchased to replace a failing audio processor previously installed. Unfortunately, we do not have a copy of the programming available.

Q7: How many audio Inputs & Outputs are there? And what are those I/O`s labeled?

A7: At one time all 16 input channels were in use on the current mixer. Presently, the primary inputs in use include 3 wired stage floor mics, 4 wired side stage mics, 3 wired ceiling mics, 2 wireless receivers, 1 wireless talkback receiver, and 1 CD player. The mics are connected to XLR inputs, 2026-06-RFP Audio-Visual Upgrade for Curtis Peterson Auditorium Page 2 of 3 while the CD player is connected to phono L/R inputs. The current outputs are the main outs

(Left, Right, and Mono), auxiliary 1 & 2 outs, and matrix 1 & 2 outs. The aux and matrix outputs are 1/4" TRS sockets, and the mains are XLR sockets.

Q8: What`s the thickness of the walls flanking the stage for screens to be mounted?

A8: The two walls flanking the stage are 1 ft. thick block walls.

Q9: Does staff need to consistently "manipulate & modify" audio settings or prefers to simplify operations for presentations, plays, practice, and/or graduation?

A9: Since this space is used by both district members and outside community members, staff or operators will need to modify audio settings to suit their productions.

Q10: Is a new mixing console to be provided?

A10: This is not required for Option 1. Respondents may include this in Option 2.

Q11: How many new microphones are requested? How many of these are to be wireless?

A11: Proposals should include at least 1 wired handheld, 4 wireless handhelds, and 4 body packs with lavalier microphones.

Q12: Are any accessories (Mic stands, cables, direct boxes, etc) are required?

A12: Refer to previous question answer.

Q13: Is the intercom system to be updated/replaced?

A13: No. That is outside the scope of this project.

Q14: Are there to be more than 1 system control panel (on stage and in the booth)?

A14: One (1) system control panel to be in the control booth.

Q15: Is the Bluetooth audio input to be located on stage or in the booth or both?

A15: In the control booth only.

Q16: Is flexible video routing (camera and HDMI inputs) desired? For example, camera video to the projector with HDMI input going to side screens or vice versa.

A16: This is not required for Option 1. Respondents may include this in Option 2.

Q17: What are the performance specs of the sound system? Is it for spoken word and stage plays only or will powerful music reproduction and performance expected?

A17: This space is used for a variety of performances by the district and other members of the community. These performances could include spoken word, stage production, chorus, musical performances, etc.

Q18: How are we to comply with Executive Order No. 22-216? What documentation should be provided?

A18: Respondent shall describe the internal controls used to ensure that no products or software are manufactured in China per Executive Order No. 22-216. Please refer to the RFP Page 14, TAB 2 -

EXPERIENCE, QUALIFICATIONS, REFERENCES.

Q19: Please include as a bid document(s) any AV or construction drawings of the auditorium.

2026-06-RFP Audio-Visual Upgrade for Curtis Peterson Auditorium Page 3 of 3

A19: Digital copies of drawings for the auditorium are not available at this time. Please see answer to Question #4 above.

Q20: What is the distance from the back of the auditorium to where the projector is set in place?

A20: Currently, the auditorium lacks an installed projector. Whenever the projection screen is needed, a projector is rolled out on a cart and placed in front of the front row of seats. Initially, when the auditorium was constructed, a projector was operated from the control booth, which is approximately 95 feet away from the projection screen.

Q21: Can bid submissions be electronic only via VendorLink and not hard copy? If so, submissions would still be clearly organized, yet the burden of a paper production is eliminated.

A21: Please refer to RFP Page 3, Paragraph 2. BID SUBMISSION. Respondent can either submit electronically online OR by hand delivery/mail.

Q22: Why is Warranty scored higher than Training or Cost of Services when respondents will only meet the minimum requirements that are described on #11, page 8?

A22: The weights allotted represent the significance of each aspect of the proposal to be evaluated in order to obtain the most advantageous and best valued solution that meets the needs of the District and complies with all requirements of the RFP. Warranty requirements specified on Page 8 of the RFP are the MINIMUM requirements for all equipment, hardware, and labor provided. Actual warranty for equipment/hardware can vary significantly depending on the manufacturer therefore, the weight allotted represents the value assigned to the overall warranty term, coverage limitations, etc. offered by Respondent for the solutions proposed.

Q23: Are the requirements under #12. Service Response Levels to be included with our warranty offer in option 1?

A23: The Service Response Levels are requirements to be met in addition to the standard warranty offered for both options.
