About this file
This is a sample auction list attachment for the City of Palo Alto's Vehicle & Equipment Auction Services RFP (#RFP195205), documenting vehicles and equipment anticipated for disposal within the next three years. The submission requires proposers to complete this form as part of Chapter 8 of their proposal, providing gross auction sales results for vehicles listed with low, average, and high sales prices dated within the last 24 months. The City of Palo Alto maintains a fleet of approximately 550 vehicles and equipment items across multiple categories, including automobiles, pickup trucks, vans and SUVs, light trucks, medium and heavy trucks, construction and miscellaneous equipment, turf equipment, and trailers. The sample inventory spans vehicles from model years 1987 through 2024, manufactured by companies including Honda, Chevrolet, Ford, Freightliner, Peterbilt, Bobcat, Jacobsen, and John Deere, with mileage or hours ranging from zero to 170,000. Proposers may substitute comparable vehicles if exact models lack sales data, provided substitutes remain in the same class, are comparable in model, fall within one model year, and have similar mileage or hours. The proposal submission deadline is October 1, 2025, at 3:00 pm, with the anticipated contract covering a maximum period of three years.
The City reserves the right to select multiple auctioneers based on their specific areas of expertise. Auction service providers will receive compensation through a commission structure on gross auction proceeds, supplemented by listing fees ranging from $75 to $500 based on equipment type and location. Contractors must maintain comprehensive insurance coverage, including policies from companies rated A-:VII or higher by AM Best, with minimum coverage limits of $1,000,000 for various liability types. The solicitation does not explicitly specify set-aside designations or disadvantaged enterprise restrictions. The required services include live auctions at a permanent facility within the nine-county Bay Area conducted at least six times annually, detailed advertising, online vehicle listings, transportation, storage, and complete record-keeping documentation. No incumbent information is specified in this sample auction list attachment.
