About this file

This is a cost proposal template for RFP-26-015 issued by the California Arts Council (CAC) for Reasonable Accommodation, Ergonomics, and Training Services. The solicitation seeks a qualified contractor to provide comprehensive professional services supporting the CAC's reasonable accommodation processes, ergonomic assessments, and related training programs. The contract will be awarded to a single vendor for a three-year term. The RFP is open to California independent contractors, individuals, sole proprietors, partnerships, California Certified Small Businesses, Disabled Veteran Business Enterprises, 501(c)(3) organizations registered in California, private for-profit organizations, and organizations with joint powers agreements based in California. The current deadline for bid submission is October 22, 2026, at 5:00 PM, with bids to be emailed to Procurement@arts.ca.gov. Key action dates are subject to change and will be communicated through addenda posted to the event listing.

The cost proposal template requires bidders to submit fully burdened rates for three service categories: Reasonable Accommodation services (initial case review, interactive process consultation, written recommendations, and follow-up consultation), Ergonomic Services (individual assessments, written reports, and follow-up assessments), and Program/Training services (RA/ergonomic program consultation and manager/HR training). Bidders must provide hourly rates and estimated quantities in hours for each line item, with the CAC using the three-year total cost for evaluation purposes. All costs necessary to perform services, including routine travel expenses such as transportation, mileage, parking, lodging, and meals, must be included in the bidder's fully burdened rates and are not separately reimbursable unless specifically authorized in writing by CAC. The state will pay only for services specifically authorized, satisfactorily performed, and accepted by the state.
