About this file

This document is a Schedule of Supplies/Services for a Dell PowerEdge Extended Warranty Coverage contract with the Indian Health Service (IHS). The contract covers a base period from 12/15/2025 to 12/14/2026, with four additional one-year option periods extending through 12/14/2030. The primary requirement is an Annual Inventory Reconciliation (AIR) process to ensure accurate maintenance inventory tracking of Dell servers located in IHS HQ Data Centers in Albuquerque, NM, and Rockville, MD.

The AIR process involves detailed steps including government-furnished information provision, contractor inventory comparison, variance classification, and maintenance log updates. Specifically, the government will provide a Bill of Materials (BoM) and server records 60 days prior to each option period, and the contractor must compare this information against their maintenance inventory log within 45 days. The contractor must classify and propose dispositions for any discrepancies, such as servers found-not-listed, listed-not-found, or with record mismatches, and update the maintenance inventory log within 30 days of option period exercise upon government acceptance.

1. Annual Inventory Reconciliation (AIR):

The Contractor shall perform at minimum an Annual Inventory Reconciliation (AIR) to ensure the Contractor’s maintenance inventory log for covered Dell servers accurately reflects the actual, in‑service server population under this contract. The AIR shall identify, document, and resolve discrepancies between (a) the Contractor’s maintenance inventory log, (b) the Government’s Bill of Materials (BoM) and records, and (c) the servers physically or logically present in the IHS HQ Data Centers in Albuquerque, NM, and Rockville, MD.

1.2 Government‑Furnished Information (GFI). No later than 60 days prior to an option period, the Government (via the COR/TPOC) will provide the current BoM and any available server records (e.g., location, room, service tags). The Government shall perform a network system scan to identify servers.

1.3 No later than 45 days prior an option period, the Contractor shall compare the Contractor’s maintenance inventory log to the Government BoM and the actual environment (Network System Scan), verifying each server’s service tag, model, and location.

1.4 Contractor shall classify each variance as one of:

• Found-Not-Listed (server present but not on the Contractor’s log).

• Listed-Not-Found (server on the Contractor’s log but not present or decommissioned).

• Record Mismatch (conflicting attributes such as service tag, location, or coverage dates).

1.5 For each discrepancy the contractor shall propose a disposition (add, update, remove) and supporting evidence. Upon Government acceptance of the AIR, update the Contractor’s maintenance inventory log within 30 days of option period exercise to reflect approved changes.
