About this file
This document is a solicitation for Golf/Sports Netting Repair Services for the Bergen County Cooperative Contract Purchasing System (Contract # CK04) in New Jersey. The procurement allows various Bergen County agencies to purchase netting repair services and related materials directly from vendors through non-confirming purchase orders, with no minimum order requirements. Vendors must be official distributors of the specified equipment and provide comprehensive catalogs or price sheets that clearly identify product specifications, names, and pricing.
The pricing structure requires vendors to offer a percentage discount from their lowest catalog prices, with zero discount being acceptable. Vendors can submit different discount percentages for various product categories or brands, but must clearly note any exceptions. Price sheet increases are only permitted if initiated by the manufacturer, and vendors are limited to updating base pricing once every 12 months. The catalogs and pricing must be universally applicable to all customers, not just Bergen County, and must include transparent pricing information. Vendors referencing manufacturer websites for pricing can adjust prices accordingly, provided their price information page indicates the specific website used.

The vendor must be an official distributor for the specified equipment and any options catalog/price sheet offered. Documentation of this fact must be included with each catalog offered. The county will not accept a catalog/prices sheet where the distributorship rights to that catalog are those of a third party.
Manufacturer/Dealer Catalogs/Websites must clearly identify the product name, specifications and related information. Pricing must be listed in each catalog/website.
The catalogs used must be for all customers, i.e. Registered Bergen County Cooperative Contract Purchasing
System # CK04 members, and just specifically for the County of Bergen. Vendor shall provide either price-sheet or reference website.
The price(s) offered shall be in the form of a percentage decrease (discount) from the lowest price listed in the catalog. Zero is an acceptable discount percentage. Any exceptions to the stated percentage decrease must clearly be listed with the bid submittal. Vendors are permitted to breakdown catalog/website pricing by sections if preferred to apply different discount to commodities according.
Vendors may duplicate the catalog discount sheet (included) as necessary to bid multiple brands or product categories. Exceptions should be clearly noted and any variance from the percentage discounts listed for the product line. It could be either a smaller or a larger discount for certain products within the line. Vendor must include additional price information pages stating the exception discount.
Vendor price-sheet increases are not permitted unless it is done so by the manufacturer of product offered.
Contract expiration will not be established until the manufacturer announces the factory cut off dates. However, percentage discount offered in the bid submittal shall not change over the life of the contract. Vendors are only permitted to update actual base pricing once in a 12-month period if they are submitting their own price-sheets and all consideration should take that into account when assessing percentage discount. If vendor is referencing a manufacturer website for their base pricing (MSRP) then changes to that pricing is permitted as long as their price information page indicates an actual website used.
If submitting actual price pages that are not MSRP then vendor shall supply the County of Bergen with new catalogs/price-sheets with any price changes at least ten (10) working days prior to the increase price(s) becoming effective. No increase shall be retroactive. The vendor shall honor prices on orders placed prior to the County’s receipt of revised price(s). Vendors deferring to manufacturer websites are the exception.
Various Bergen County using agencies may order materials covered by the contract directly from the vendor.
All orders shall be placed by issuing a non-confirming Purchase Order.
There shall be no minimum requirements for each order placed.
