About this file
This is a Request for Proposal (RFP) issued by Granite School District in Utah for musical instrument repair services. The District seeks qualified vendors to provide repair services for a wide range of instruments, including brass, woodwind, electric, string, and percussion instruments used throughout the district's music programs. The RFP encompasses five instrument categories: Woodwinds, Brass, Strings, Percussion, and Modern/Rhythm Section Instruments. Services required include routine maintenance, minor repairs, and major restorations. Vendors may bid on one or more categories. The contract will begin on the award date and continue for one year, with an option for Granite School District to renew annually for up to four additional years with vendor agreement. Multiple awards are anticipated based on responsiveness to evaluation criteria. Proposals must be submitted through the Utah Public Procurement Place (U3P) by the posted deadline, with no late submissions accepted. Award results will be posted on U3P following evaluation.
Pricing will not be scored as an evaluation criterion; however, vendors must submit a comprehensive, itemized price list reflecting educational pricing for all instrument categories and services they offer. The evaluation committee will assess proposals using five weighted criteria totaling 100 points: Repair Process and Workflow (25 points), Customer Service and Communication (25 points), Billing and Invoicing (15 points), Quality Assurance (20 points), and Experience and References (20 points). Vendors must score a minimum of 57 points to receive an award. All proposals must include both a technical proposal and cost proposal submitted in the specified format. The District makes no guarantee regarding volume and reserves the right to reject any proposal or cancel the contract with 30 days' written notice if performance requirements are not met. All communication must occur through the designated procurement officer, and vendors are responsible for reviewing all addenda issued through U3P.
